Alright, we'll go ahead and slowly get started as everyone logs in. Again, welcome to today's webinar, real time driver performance. In the session we'll be diving into telematics and driver scorecards, what they are, how they work, and the impact that they can have on your fleet. So we're super excited to have you join us today. Next slide. Remember to submit your questions in the Q and A section. We will be monitoring your questions throughout the webinar and we will answer them in the chat or answer them live at the end. And also don't forget to use the Zoom react buttons to let your speakers know how well they're doing. I'm Sarah Chui. I'm the product marketing manager here at HCSS and your host for today. But leading the content of the webinar will be Ryan Newlander, is a business solutions analyst here at HCSS and today's expert on driver scorecards. And then we also have Bryce, who is the man behind the curtain, and he'll be answering your questions as you submit them. So with that, I'll go ahead and hand it off over to Ryan. Thanks, Sarah. So today, we will be talking about the driver scorecard in our HCSS Telematics platform. So we will be going over a few different items. We want you to make sure that you're able to learn and successfully set up your drivers and vehicles inside of HCSS Telematics, making sure that you're able to seamlessly and accurately track that information, discover how to customize the driver scorecards so that you can get valuable insights into your driver performance, as well as mastering the process of checking and removing any violations that may occur that need to be removed. That way, your driver data is as accurate and reliable as possible. So in order to do that, we're gonna go over a few different processes. We're gonna create an employee inside of HCSS Telematics, go over how to assign drivers to vehicles, edit the weights of your scorecard, run the scorecard, as well as checking and removing the violations that could be associated with one of your drivers. And after all that, if we have time left over, we'll obviously cover more q and a. So let's talk about how to create an employee inside of HCSS Telematics. So there is a new employees module inside of HCSS Telematics that was recently added to the system, and this is where all of your Telematics users, specifically your admins and those who have the right credentials, will be able to add employees. And it's just a very simple button they'll click to add, or if they need to see a complete list, they can export it to Excel. To add the employee, they'll just click the add employee button if they don't already exist within the system, and then they'll be required to enter an employee code and select a business unit in order to add them to the system. One important step is that the employee will need to be checked as a driver in order to assign them to a vehicle later. If they're not marked as a driver, when you go to add them to the vehicle, they will not display on that list. So assigning drivers to vehicle is done through the equipment detail page. So on your equipment list, you can pull up a piece of equipment or even through the map view, find a piece of equipment and go to the equipment detail page, and you'll see a small item there listing the current driver. If there's not a driver assigned, it will say unassigned. If there's a driver listed there currently, you need to change it. You'll click the edit button and then select from the list. There will be a an option to set them as the current driver, meaning from the point you're assigning them to whenever that item gets changed, they'll be the driver of that vehicle. If you need to edit the the past history of a vehicle so that maybe they were driving a few days prior or a week prior, you can uncheck the current driver option, and it'll allow you to change the options of the from and to date as well as leave any necessary notes. For editing the scoring weights of the driver scorecard, that's actually done from the driver scorecard itself. So you'll see an edit option here, and it'll allow you to determine which items are relevant on the scorecard as well as assign the weights to those specific items. One thing that's important to remember is that all of the items together have to add up to a hundred percent. That way everything is being calculated correctly. So if you remove an item, say dashcam events, that accounts for twenty percent. That twenty percent has to be added back into the scorecard to make sure that everything's being calculated properly. And from here, you can also adjust the scoring range, the red, orange, and green level. That way when you're looking at the driver scorecard, you can see at a quick glance sort of the overall performance and health of your of your drivers. Running the report is done through the driver scorecard screen as well. It will automatically pull the last seven days of data by default. And then from there, you can see on the left hand side, just a quick glance, the overall performance of your different drivers, what their scores are at. And then the scorecard will allow you to kind of drill in a little bit further down to look at individual driver performance where you can see their violations, check those violations, and then go through the process of removing them if that's necessary. You'll be able to do this over a specific time period, arrange the the date there, and then adjust the driver accordingly. Once any items, if necessary, have been removed, the driver scorecard will recalculate based on the the change in those violations. So removing the violation, you'll you'll check the you'll click edit. On the driver scorecard, you'll see a list of those violations as well as some checkboxes. Checking off the boxes, you'll be able to remove one or multiple violations. For instance, if maybe there was a false event recorded by a dashcam or the accelerometer, you reviewed maybe dashcam footage or talk spoken with the driver about, you know, what was occurring at that time, confirm that it's a a false event that was reported. You can remove it, and then it'll be recalculated. So let's go ahead and do a quick demo of everything, starting with creating employees in the HCSS Telematics. So here inside HCSS Telematics, you'll see an employee's option here on the left. Scrolling down, you'll see an employee list, and clicking on that will bring you to the employees page here inside of HCSS Telematics. So you'll see your existing employees. You'll see some basic information, first and last name, what type of employee they are, if they're assigned to a specific business unit or not assigned, you'll see that information as well, as well as some contact information like phone number and email. To create an employee, you'll just click the add employee button, and you'll see this window here. Now the only required fields that to create employee are the code and the business unit. So for the code, typically, we'll ask that this match any existing employee codes if there's any integrations that this will end up touching. Later on, I believe that the telematics team is also working on being able to pull employees from setups. So having those codes match will help reduce any of those conflicts in the future, and as well as the business units. So if you only have a single business unit, it will likely only say manager. But if you have multiple business units residing inside telematics, you'll be able to click and choose any of those business units that apply. While all of this other information is optional, the more information you enter here, the more easy it will be to determine which employee records you're looking at. And then lastly, in order to assign them to a vehicle, you need to make sure that they're set up as a driver. Once they're created, you'll see them listed here, and then from there, you'll be able to assign them to a vehicle. So you can go to the equipment list To navigate there or pull up a piece of equipment from map view, you can click into a specific piece of equipment. And then from there, under the driver section, you'll see the current driver listed. If a driver is not assigned to a vehicle, it'll say unassigned. Clicking to edit option will bring up the assigned driver window. And then from here, you can click on the drop down. Any of any of your employees in telematics that have that driver checkbox marked off, you'll be able to select them from that list and change the driver or assign them as a driver to that vehicle. As I before, if they're the current driver taking over from the current time stamp, which which would be this time here, Or if they were driving this in the past, you can uncheck the current driver and then select the date range from which they were operating that vehicle. And then, again, any assignment notes that might be necessary, you can add them here, and then you'll click save. Once that's done, you'll see that option updated here on that piece of equipment to confirm that that person is listed as the driver. The driver scorecard lives onto the analytics tab here on HCSS Telematics. So under analytics, you'll see driver scorecard. When you click on that, the report will actually load for the first time. And then depending on how many different events and how many drivers you have in the system, it will go through and pull all of the events for the past seven days. So here in the upper right corner, you can see where you would go about editing your scorecard weights. If the score has never been set, you'll see a message stating as much. If there's been any changes or edits, you'll see when that last occurred. But in order to change those items, you'll click edit, and you'll see this window listed here where it gives a default calculation for how we go about determining what the driver scorecard is as well as the different weights here. Now if there's certain items that you wish to not be part of the calculation, checking the box will remove them from that calculation, and then you'll see a warning that you need to adjust in order to make up for the weight that was removed. If all of these items are being tracked, you can adjust these weights accordingly. Setting an item to ten percent will also give you a warning just to make sure that you're always at a hundred percent, making sure that those values are being calculated correctly. And then down at the bottom, you can slide these numbers back and forth to adjust your ranges. That way, when you are looking at the driver scorecard for over here on the left hand side, just at a quick glance, you can kind of get an idea of how well your drivers are operating their vehicles, should they be encountering a bunch of violations, as well as clicking into the individual drivers. So we'll select Isaac here, and we can see he's operating a couple different vehicles here in our system. So we'll select the truck here and expand it out where you can see any of the violations that are listed here. So say Isaac may not have been driving or these items here he's stating were, you know, falsely reported. We've reviewed any sort of dashcam footage or anything else that we might have given us reason to remove these violations. We would click edit, and then we can select any of them that might need to be removed and select next. It will ask for a deactivation note or a reason as to why those items are being removed. And then once that item or once that note is entered, you can click deactivate, and that will remove those items from the driver scorecard. And you can see that once they've been removed, you can see that his score was updated from a ninety eight to a ninety nine, kind of recalculating on the fly. And then you can see that the violations are also grayed out. Going back into the option, you can see inactive violations where you can see the items that were removed. So maybe someone removed the incorrect items or they didn't need to be removed. You can reactivate those items, and it will recalculate once again. I think that just about covers the driver scorecard inside the HCSS telematics. Do we have any questions that need to be addressed? Jason, the option will be in the future the the option in the future will be to allow customers integrated with HCSS up HCSS setups to integrate the employees in telematics. So it's not a requirement, but it will be something that is offered. So with HeavyJob and E360, if you're integrated with setups, they will be able to send employee records to setups, and then telematics, if you're integrated, will be able to pull them. But I don't believe at the moment for heavy job, there are any plans to have employees sent directly to so with the for HeavyJob specifically, I don't believe that there are any plans, but that's probably a better question for that team specifically. I do know that for E360 and Telematics that we are currently evaluating the ability to have the driver field in E360 be able to communicate with with telematics. Yeah. Absolutely. Not a problem. Do you have any other questions? So I do wanna thank everybody for being here today, seeing the HCSS driver scorecard in action inside the telematics platform. Jason, in theory, yes, the scorecard could be used for operators as well. The heavy equipment GPS devices do have accelerometers in there that could track harsh driving events like deceleration, acceleration, turns, potential impacts as well. I'm not sure that they would be able to record things like seat belts, but I with a dashcam associated with it, it could also pick up those events. So operators might be a little trickier as far as the full scorecard metrics, but so long as as they're listed as both a driver and an operator in the current system, you could use the driver scorecard in theory to track equipment operators as well. That's that's a great question. I would have to pass that feedback along or pass that question along to the telematics team to see what their plans are for that or if there's plans to have something like that reside inside another portion of our platform, be it heavy job or safety itself. So once again, the driver scorecard is a great way to give you the data that you need to proactively manage your driver performance and help improve the safety of your fleet. There is one more quick question, which I think, might not be able to use, but, is there, mister Dennis was asking, is there a way the non HCSS products will be able to be used with the scorecard such as Samsara? So at the moment, no. I know that that question has been asked, and I believe that our product management team for telematics is evaluating that. But at the moment, it would only work with the HCSS cameras that we provide as far as the dashcam events. If the JSON, as far as the OEM GPS providers, if they are sending us those events, which most of them outside of maybe Samsara don't typically provide those kind of events. But if they were providing them through the OEM feed, they should show up on the equipment. And if they're showing as violations or if they're registered as an event that we would track as a violation, they should show up on the scorecard, but most of the OEM providers aren't sending us those types of events.
