Thanks everyone for joining our monthly heavy job safety and plans webinar. We have a special topic today. We're gonna talk, Brittney's gonna talk a little bit about Resource Planner and some of the exciting things we have coming there. And then we have a new collaboration with our Education Services team, and they're helping us put together some deeper dives into different parts of the products that we wanna share with you and get you more familiar with maybe some functionality you're not familiar with. So with the first kickoff of that on the operations side, we're gonna have Jon Knudson talking about materials in Heavy Job today. And then as always, we will have time throughout the presentation for Q and A. So again, go ahead and use that Q and A button, enter any questions that you have anytime throughout the presentation. We'll do our best to answer as many as we can live or have someone reply in the chat. Try to keep them on topic, but if you have some time at the end, if there's something that we don't cover that you really need some help with. So with that, I'm gonna turn it over to Brittney, and we're gonna talk about resource planning. Thank you. Thanks, Reed. I'm actually going to jump in first here. Adam Black, another member of the product team on the heavy job operations side of things. What you're looking at is a screenshot. It is a design. It is not something that exists in production right now. It's not something that you're seeing right now. But you'll notice that we are continuing to work on a couple of new things. Obviously, dashboard is still going to remain the same. However, if you look at the left design team is working on some better ways of organizing of making the left hand navigation a little bit easier to find. If you look at the top, we're continuing to iterate up there as well. I'm going to point out a couple of things that are just thoughts at the moment, but will hopefully come to fruition later on this year or early next year. The first is there's that pinned area up at the top. We recognize that we actually have so much, so many pages, so much functionality in the system. It's getting a little bit hard to track down where everything is. And so the ability to get in there and pin the functions that you use most often and make them easily available to the users actually probably have a lot of there. So we are planning on putting in a a pinned option, hopefully, as part of the navigation and let you pin across the entire platform, whether it's a heavy job page or a safety page or a plans page. Pin it in there. For those of you used to using the my work menu in the old desktop system from like ten or fifteen years ago, that is what that that kind of replicates there. It was on desktop. I'm sure that nobody on this call actually was using that when it came out ten or fifteen years ago. Other cool things going on on this nav bar is to the right of that pen system is the map, a map option there. So haven't shown you very much of this yet, but John's team is hard at work right now on a very cool map view. That's going to bring some nice functionality to y'all and hopefully we'll get to see that before it gets released sometime releases probably into the third quarter ish somewhere around there. It's a, it's a big project, but definitely going to have John come on to one of these monthly webinars and show you exactly what's going on before it gets released. All right, and then you'll notice as we move, as we continue down the line, docs and plans, that is the plans module that you know and love. However, our plans team with other John, who will be joining us probably in fifteen minutes when he gets done with a doctor appointment, will be is hard at work on a document management document management story to really increase the functionality available there. And so hopefully that will be coming out. That one's also another big one. Probably not going to see that in twenty twenty five, but hopefully towards the towards the beginning parts of twenty twenty six at some point, we'll get that in there. And then I'm going skip over the next two and go all the way over there to the right. We are working on some AI functionality. Got some cool things to show there that hopefully will be out within the next couple of months. Looking forward to showing you more, but for now, you just be able to take a look and notice that it's going be right there present on the top navigation bar. And then I'm gonna come back here to resource planner on the center in the nav bar. So that is a new module that we wanna talk about just a little bit, and I'm gonna hand it over to Brittney to to talk about that. Thank you. So you guys may have received an email that we acquired a company. We have acquired a company that solves the problem of workforce and equipment scheduling. And so a couple years ago, we had a UGM town hall conversation with a few folks. Some of you might have been in that room, where we talked a little bit about how you guys schedule your cruise. You talked about meetings, a lot of time spent, a lot of spreadsheets, a lot of headache, and the idea for resource planners to try to help alleviate some of those problems. So as I mentioned, it's a centralized workforce planning product. It's going to be on the web. We will be integrating it with some of our HCSS products like Heavy Job, and the goal is to improve your visibility into what resources are available and make that communication to the field a little bit easier. And so, we are actively working on this right now, and we want to kinda gauge some interest. So we have a poll, we may have a beta program. If you are interested, please let us know. If you have another solution that you're already using and you love, let us know, we'd love to know that too. And then, I guess one thing I wanted to mention for anybody that currently uses our Dispatcher desktop product, that is gonna be continued to be supported, you don't have to worry about it. These two products are different and so if you're curious and you wanna learn a little bit more about Resource Planner, definitely let us know with this poll, so that way we can stay in touch. Alright. Cool. And seeing one question that came in from Julia. Hi Julia. Will Resource Planner talk with the dispatcher? That is a great question. And at the moment, we're just we're still figuring out how the integrations are going to play. If you have desires as to integrations, whether it's with the existing dispatcher on the desktop program or integrations with heavy job or with safety that you'd like or with heavy bid. But we're we'll we'll talk about that later. If you have integrations, if you have functionality you'd like to see come into play for this web based resource planner, by all means, reach out to Brittney and we'll start writing down these ideas. And looks like Sarah already put one into the into the q and a as well. Awesome. So Yes. Lots of interest, Brittney, in beta. So very exciting. That is exciting. I'll go ahead and end the poll. All right, thank you. Alright. And with that, I'm gonna turn it over to Jon Knudson, and he is going to go over mastering materials in HeavyJob. So, John, take it away. Alright. Thank you so much. Jonathan Knudson, one of the technical product managers for HeavyJob. And like Reed mentioned earlier, this is part of our new operations learning summit. Some of you might have been involved in some in the past, and so we're including this in as part of our webinar for now. So let's talk about some goals real quick for today. You can go to the next slide there, Reed. So overall, this is kind of what we consider maybe like a second or third step for a lot of customers. So a lot of times we wanna get in there and really get our time card process, our payroll process nailed down first, which is great. We wanna make sure people get paid on time. The next step there might be equipment, getting some telemetry data in there, really making sure our maintenance schedule is on track so we save as much money there as possible, increase our overhead revenue as a result. And then a lot of times material gets, you know, kind of the second or third spot there. So, one of the things we'd like to do today is just talk about some of the value of that, hopefully increase the usage for this tool overall, provide a basic rundown of this functionality so that if you're not familiar with it, you have a good starting place. And then we also wanted to share some of the future plans for material tracking. So our agenda for today, why this matters. We sometimes call it material and subs. We sometimes call it MSE for material subs and expenses, but we wanna talk about why that matters. I'm gonna do some live demos on, how this interacts between the mobile app and the web app, and we'll talk about some future plans and do some q and a as well. Okay. So first off, let's talk about some common industry challenges. So I'm gonna go ahead and go to the next slide there. Thank you much. So in addition to the frequent fluctuations in material costs these days, something as simple as digging a trench a little bit deeper or a little bit wide can really add up a couple extra tons of stone needed to complete a job. These little deviations over the scale of a long term job can really add up. We've also, you know, in the past used tools, lots of manual spreadsheets, paper tickets, just anything that kinda lacks integration across departments, just kinda presents an inaccurate view of the true material cost across jobs. So oftentimes, when customers come to us with material issues, they really won't know that there's a problem until it's too late to fix it. So that's one of the big things that heavy job tries to address is getting that information to you in time so that you can, you know, take action and say, oh, you know what? We're using a little bit too big of a bucket on that. Let's swap that out, and that will align our material cost and and allow this job to be profitable. Alright. So, HeavyJob has your back here. We address these issues by providing a seamless end to end tracking system, that allows for daily updates on material costs. For customers that also use HeavyBid, the setup here is quote, unquote, free as Matt Fiddler pulls directly from the bid. So we wanna talk a little bit about that today, how this integrates with HeavyBid, but also talk about how we might set it up for folks that aren't using HeavyBid at the moment or have that as one of their future steps for estimating. Alright. So when we're talking about that connection there, like we said before, there's that free setup. This connection is key as it allows for the quick creation of advanced budgets, which is kind of a more of a desktop term, but it basically means that connection of the materials to the cost code. So the overall goal is that a foreman is basically automatically pulling materials into a time card just by adding a passcode. The suggested quantities on the foreman's time card allow them to compare the amount of materials that were budgeted for the day to what was actually put in the ground. So I know that's that's a lot to kinda conceptualize, but I'm gonna show you that firsthand in our demo here in just a minute. HeavyJob can also link to your accounting system for quick reconciliation of costs. So I know a lot of folks that aren't necessarily, doing the full dive into materials and HeavyJob might be handling that in their accounting system currently. We wanna do today is talk about some ways that we can kinda create that full link together. So materials can be linked to cost codes to just ensure that those wind up in the right cost bucket. We also have different cost types that are used to transfer that data across. Alright. So the overall idea is the faster we can get material transact transactions into HeavyJob, the faster we can identify problems and determine the best way to address them. So HeavyJob allows for easy field entry, quick adjustments to existing transactions, various reporting tools and dashboards that allow to ensure that your material costs are on track within the project budget. Alright. So, let's talk about some of the core functionality here. I'm going to, take over on the presentation. Share my whole screen here, but I'll be bouncing back and forth between, my test environment and the mobile app here. Okay. So hopefully, you're able to see the library materials. Is everyone able to see that? Okay. Great. So for those of you that aren't on the administrative side, just kinda keep this in mind that this might not necessarily be something that that you'll see from day to day, but this is kind of, at the core of where we see this in manager. So under my setup tab here, I have my material section, and this is where a lot of the initial setup begins. So the library is really the heart of what's happening here. This pulls from any materials that are added to jobs. This works across the entire business unit. So for those folks that have multiple companies, you know, kind of under one parent company or multiple business units as we like to call them, you'll see all of the materials available within this business unit. You can quickly upload these to Excel, but you probably noticed here this is a very high level. So we're really just looking at code description, cost type, whether that's a material or a supply, and heavy big code. So the real budget assignment happens once we pull these down into a job. We'll talk about some of ways to do that here in just a moment. When talking about cost types, you guys are actually able to, create as many as you like now. With our our older legacy system, we had a limit to the number of cost types. Now we can add as many as you can think of. So, you notice here in addition to the standard cost types, materials, supplies, I've also added one for trucking. I've also added a specific supply one here, and you basically can just add as many as you like, assign those to you know, just think of those as different buckets so that that cost falls into. I do want to I do want to jump in here and make a recommendation. We we let you go with unlimited like like we've removed the restriction that was in desktop of of three miscellaneous cost types. We've let you go with unlimited because we really felt like people have asked for a fourth and if we give them a fourth last for a fifth four or five fine sure. Unlimited yes you can do fifty. We've seen some of y'all getting a little bit out of hand when we say unlimited and you just go crazy. Don't do it like it's it's not going to end up well for your foreman. It's not going to well for your tracking to keep things in line. And that's typically whenever we say unlimited with anything. Just just try and stay within some sort of box. So sorry, John. I jumped in there. So No. That's a great point. We do want to add custom cost types responsibly. Like any of the buckets that we have within our system, rate sets included. You know, if you get to the point where we have a custom cost type that's or a rate set that's specific to each job or material, then we're kind of getting beyond the the use case for having those buckets. Right? We want it to be a big bucket. We want lots of things to be able to fall into it. So, if we're getting too precise, we may wanna take it up a level and say, okay. Instead of my individual types of trucks, I'm gonna put this all under truck all. Your accountants will thank you for this. Okay. So all of this is under the materials section. We've also got a vendor list. It's important to note that this works across the entire company, so across multiple business units. We realize that some of you might be using vendor between different business units or sharing based on certain regions. So all of those are in this one place. Okay. So back to the library materials. One thing that's that's different for those of you that maybe have tried materials in the past but haven't messed with it recently, we've actually our wonderful mobile team has added the ability to pull from the library onto mobile. So before, it was really, okay. We're only gonna allow you to see what's in the job, but we realized that, hey. As a starting point, you maybe we just wanna get some materials in the library. Maybe we have ten to fifteen materials that we wanna start at least tracking quantity or or, you know, involving in some way as we kinda step our way up. Right? You don't have to just write in the materials. So adding them to the library and then using the library function on mobile is a great way to do that. So I've got this project supervision cost code. Can you guys still see my mouse? Yes. Okay. Great. So I know when I'm just tapping on the iPad, you can always see what I'm tapping. So so here we can you know, we've got our cost code, but this is where we would add our quantity for the day. And you can see I don't have any linked materials at this point for this one. That's totally okay. If we're just diving into it, I can just click add materials. And and right up here at the top, I've got my source. So you can see these are all the ones that I have set up for this I thirty five expansion job. But if I just go to source, tap library, now I can see the the materials that are only available in the library but not in the job. So we have that nice filtering distinction, but say we just have ten to fifteen materials as a starting point in our library, I can just go ahead and add that pump back to my cost code, hit next, and then I can go through the process on mobile here of saying, okay, this is of course, with the pump vacuum, you might just say that, I received it. I'm not necessarily installing something. So there's different ways to track those, but, you can see a lot of these other fields that we've talked about like, vendor and cost code and things like that. So, you can quickly just add a material kind of on the fly, without the additional setup, and you can see now that I've got my pump vacuum on there. Okay? So think of that as a starting point. We have access to this material library. We can quickly add that to a time card. Now let's talk about that this next level, which involves some of this free setup that we talked about from heavy bid. Okay. So I'm gonna hop back over to web, and I'm going to go to my purchase order screen. Let me back it up just a bit here. I'm gonna hop to my job list. Again, this is under setup. So for those of you that are just accessing web for reports, just kind of, you know, realize that you may not have access to this here. This is more on the administrative side for the folks setting up the jobs. But I can hop into my I thirty five expansion job, and I'm gonna go under the material and subs tab, and here are all the materials that I have on this job. Now this is one that I built from a heavy bid estimate, so there's a lot of detail here thanks to my estimators. Now I realize on the operation side, we may not have time if we're moving fast to to go in and and, you know, get to this level of detail. So again, if you have heavy bid, this free setup is amazing. Basically, all that happens is when you get done with your estimate, you've won the job, you're gonna upload that into HeavyJob, and it populates all the materials, all the connections to the cost codes, activities, and HeavyBid become cost codes of HeavyJob, so it's gonna create that link for you. So this is an example of that link existing. Now if you don't have heavy bid already, that's okay too. What I'm gonna do is I'm gonna hop into this purchase order section. For those that came from our legacy software, you can kinda think of that as the advanced budget section with the addition of a third level for PO. So if I am a non heavy bid user, what I can do is just drop all these in the unassigned materials and supplies bucket. Basically, we have one PO that's kind of our default PO, and you can even rename that. So I can I can call it whatever I want? I can call it, you know, Adams materials. I can, you know if I've got a specific vendor that I'm pulling those from, I can name the PO the same as the vendor. So there's lots of ways to make this this easier if you don't really use a specific idea of a PO. But for the purpose of today, just think about this as as another bucket that we can place all these in. So if I'm a that's used to just seeing the cost code and the material relationships, then I can just drop them all in the unassigned and not even worry about vendor, not even worry about PO. But if you do want to take that next level, there's lots of great ways to do that. So keep that in mind. We'll dig into that a little bit more here in a moment. But you can see here, I've got my relationship showing. Here's my material to be a zero three zero, and here is the cost code that it's assigned to. As I add my cost code, I can also add a quantity that will tie in with the cost code material link that we're gonna look at on mobile here in just a moment. Okay? So I don't wanna dig in too much. I could probably spend an entire session just talking about this purchase order setup. But just realize here that we don't necessarily have to worry about PO if that's not a big deal to us. We can think of the PO as the vendor. You can see here for each of the POs that I have set up in this job, I have a diff So if I wanna just think of that as, okay, these these are the materials that come from PACE Precast. These are the ones that come from Precast products. I can do that too. There's all kinds of flexibility here. So keep that in mind as we're talking today, and feel free to reach out to me after the fact if you wanna talk about specific workflows that you're curious about. But there's lots of different ways that we can set this up. The flexibility is by design so that you can use materials the way that you need to for your business. John, it looks like we actually we we got a couple of questions. Might as well hit them while you're on the screen. Yeah. So I guess first part is actually just the emphasis is something you'd said in there is that this is all was set up because you brought it in from heavy bid. And we wanna encourage that as much as possible. You don't have to worry about importing from Excel or manually setting these up. If you brought them in from heavy bid, it will automatically bring in those those POs with the vendors and all the material cost code links already, which definitely saves a lot of time. But the question that came in from Taylor was the unassigned buckets. So if those are coming in from heavy bid, does that mean that the buyout process has not been completed at that point? How does that work? Yeah. So if there's vendor association, so think in heavy bid, that quote folder, all of those links there. If we don't really have that set up in in heavy bid, but we do have the material activity link, That's where they're going to unassign bucket. So once we add that third element, which, of course, in HeavyBid is is the quote system, the the vendor association, that's where HeavyJob will automatically create a new PO. You can see these are in order, and it will associate that vendor with it. So it starts to to say, okay. These are that I think you want. Maybe you wanna change this PO number as you go, but this is a good starting. Yeah, absolutely. And if you do end up completing that, if you don't do the buyout process before you bring the bid in and create a job and heavy job, you're gonna have to complete it afterwards. If you do, you can create a PO here and pull stuff from the unassigned into the PO. So really, you're just creating the PO with the vendor in heavy job, but you're able to grab from the unassigned and bring it in there. Makes things a little bit easier for you the if the buyout process hasn't been completed by the time you create the job in heavy job. Absolutely. That's a great point, Adam. So I just I hit the add button here. Just gonna create a new PO. And what I can do let's see. PO go. Okay. Let's just create purchase for eleven. Sign a vendor to it here. Okay. So right here, I can either during the the PO creation or for an existing PO, I can open it up and I can say, okay. I wanna move some from an existing purchase order. Do here, like like Adam mentioned, you can pull these over. So here's my unassigned bucket, and I can just really quickly say, okay, you know what? All of my two codes for materials, I want to move to this new one, bounce them over, and now they are associated with the new one. So all of your, you know, quantities and pricing and all of that comes over with it. So, you know, know it seems like a lot, but but there's ways to quickly move these around based on, you know, however your estimate like Adam said, if those links aren't created in heavy bid, we're always looking for ways to to do that quickly within heavy jobs. So great. Well, was there another question? There there are definitely questions coming in, but we'll we'll we'll take a look at these and then you you keep on going and then we'll come back to them. Okay. Sounds good. Okay. So let's let's talk real quick. Again, we could probably spend a whole thirty minutes to an hour just diving in on the PO section here. But be intuitive, you know, you can just add materials to the PO. You can add associate cost codes with those. So I've got a couple that are already set up, so let's dive back over to our mobile app and take a look at our time card here. What I wanna do is add a new cost code that I know has materials linked to it already. So, okay. So our rough grade surface, we're going to take a look at that. Okay. And you can see here as soon as I add it, I can see this blue m here knowing that I have materials linked to it. Either like I did manually here on project supervision by pulling that from the library or with this one because I have linked materials through the PO setup that we were just looking at. So what happens and and this is, you know, one of the real areas that saves time. So, again, you know, we've got easy starting points with materials. We can just say, hey, field guys. Here's your list of materials. Add them put in quantities. We just wanna start tracking this. Once we have that heavy bid integration set up or our workflow to create those advanced budgets, this really becomes streamlined for the field guys. So I've got a budgeted quantity of a thousand for this overall cost code here, so for rough grade surface. Now I have this HD liner associated with it, and I have a budget of one hundred on this. You don't see this here necessarily, but if I tap on details, I believe I can see, oh, you know what? I don't see the budgeted amount there. But, what you will see, so what I'm gonna do is add about ten percent of my overall quantity. So a hundred out of a budgeted quantity of a thousand. And what that's going to do, since I have the HD liner linked to this as well as this PC type a inlet, what it's gonna do is it's going to say, okay, a hundred is ten percent of my overall quantity. So what I'm going to suggest is that you probably should have used ten percent of the material that's linked to that cost code as well as long as we had it set up correctly. So I've got a suggested quantity. It's showing that, hey, I've got a hundred square yards in the ground that amount hit today, so I'm going to I can just tap on this arrow here and populate that suggested quantity. Now if for for whatever reason, you know, maybe something went wrong, using a little bit less, a little bit more, you can absolutely type that in manually. But for the guy just getting used to materials, it's great to be able to say, hey. Just open the cost code, type in your quantity, hit the suggested button. If everything went well, move on with your day. We know that with a lot of guys, especially out there in the field, we don't want to give them, a lot of extra work to do. Any new addition to the workflow can be stressful for guys that are already under a lot of stress just to keep the job on budget. So we want to make this as simple as possible. So, again, with that link set up in web, this becomes very streamlined. Talking real quick about received and installed, there's lots of different ways that folks use these values, but the overall idea is, okay, you know, maybe I just received that one hundred units of this today. So I had my delivery of my HD liner. We were able to put, you know, ten square yards of that in the ground while we were completing some of the days work on this cost code. So that's what this might look like. Again, there's lots of ways that folks use this. Some folks like to, you know, compare the actual cost to the expected cost and different things like that. So there, you know, there's lots of different ways to use these fields, but that's the basic idea. Again, you've got your t and m toggle here that you can do if you're charging a different rate for time and materials, and you can tap your your details item. I can tap on add items to pull from the library. So but that initial link provides a lot of functionality without much extra work there. Alright. So I wanna hop back over to the web environment real quick here and show you guys that, I can do the same thing here, with my web time card. So I just rough time card created, but, again, I brought in that rough grade surface cost code. I can see that I have materials linked to it. And if I scroll down here, I will see, there's my HD liner that we were just talking about. Okay. I've got zero quantity as a starting point. This is just saying like, hey. We said there's a link here. Do you want to add these materials? So say your guys are, out there working in the field. We wanna start doing materials, but we don't we're not ready for the form and start on that yet. We can do this from the web time part as well. Just click edit, and, I will have my suggested quantity there based on my cost code quantity. So, again, if I add in a hundred here of my thousand square yards, We go to my suggested quantity. It's gonna suggest ten percent of the quantity of that HD liner as well. K? So keeping everything in sync, but also allowing you for the to allowing you to bring differences. And again, the idea is that we can quickly catch overages based on real life situations that happen every day on the construction site. Know, if someone digs that ditch a little bit too deep or uses the wrong bucket, we wanna be able to catch that as quickly as possible because it can be the difference between making money on a cost code or or losing money on the on the job overall. So we wanna be able to catch those as quickly as possible. Okay. The last thing I wanna talk about today pause there, John, before we jump out of the screen. Yeah. So I'd say one thing in particular for material tracking, just because you're tracking them doesn't mean we have to track everything. And like so many things you write down, the more you write down, the more you can report on, the more information you can pull out, but the more time it takes to put all that in. And so figuring out just like what's the right number of cost codes for me to have on a job, what's the right level of detail for me to track for my materials, is a question that there isn't a one size fits all answer for. So some of it for my stone is absolutely worth keeping track of what I have delivered so that way I can see what's left in the pile and see if I need to order more stone. If it's something like the inlet we'd have down here, I don't really care about maybe saying what was delivered because if I'm putting five in the ground, I'm putting five in the ground. I'm not gonna oops, and we put in seven and I didn't track it. And so thinking about what materials you're tracking, where your exposure is, is usually the way I'll think of it. You can cherry pick the materials that we wanna keep track of in the job. And so thinking about that, maybe I really don't care about my vendor, so I'm not going to bother setting that up, or I'm not going to bother having my foreman write it down, but thinking about where do I have headaches, where do I get overbilled or accidentally billed, where do I need to double check, and I want to have my paperwork to fact check the bill that comes in from a particular vendor, thinking about those, and then communicating with the field really well on, hey, we wanna make sure we haven't been tracking materials. I don't want you to spend an hour on your on your iPad every day just trying to write this down. Let's focus on stone first because we've had some issues there where we had to get a couple extra loads that we didn't originally plan for, and so we're just going to focus on stone. So hey, field guys, ignore everything else, but give me the stone quantities and we can start keeping track of those. And one really cool new thing that we've added recently in the work plan, we added that cost code details, which I'm super pumped about, where it makes it really easy for your field users to be able to get access to more of that information, see what my budget is, see what my hours are, but it also now will show you the stockpile quantity. So instead of me writing down what was delivered and kind of shipping that off to the office for the office to see, I can see what was the total delivery for all that stone and what we have still on-site that I, as the field user, can see really cool in this cost code detail screen. So worth bringing up, worth mentioning a couple little extra goodies, but I'd say the biggest thing for any of my customers that are looking or thinking about tracking, we'll say our non labor and equipment resources, that one doesn't fit well on the screen, so we said MSCs, materials and subs. But thinking about what specific ones we want to keep track of and dipping our toe in the water with wherever we have the highest risk or the biggest exposure, I'd say is a really good way for you to start thinking about. Maybe pick a particular foreman or crew lead, maybe pick a particular job, maybe pick a particular material type, but start with that instead of trying to go all in with everything and saying, oh, this is too much extra stuff for me to write down. Yes. That's a great call out, Matt, and thank you for that. I actually have the cost code detail is something we just released recently, so I have an older version of the app, but just in general, be sure to check out this work plan. It's kinda tucked away up in the upper left, but they're really doing some great work on mobile, adding new features to that, that cost code detail being one of them. So I apologize for not having the updated version of the app where I could show you today, but check that out there. I think this is also a great time to to call it the fact that you can have your own one on one session with mister Fiddler. So if you guys are like, hey. This is interesting to me. I but I need I need something that's really specific to my business plan. I need to identify what are the materials we need to track first. I need a step by step plan to roll out this functionality. Just go to h c s s dot com slash consulting, and that will take you to the website where you can set up a time with Matt, with Dan Lisbony, with we've got some really great guys on staff that have industry experience, have years of experience working with you guys to figure out the best way to roll this stuff out. So you do not have to do this on your own. Just think of this as a starting point today. Okay. So talking about other recent additions, we do have the material and subs tool. So this is available here directly from the time card, or if you go under the tools section, it's right here under material and subs. But, basically, what this does is allows you to take a look across jobs. So we have on the time card, we have the material section specific to the time card, but now I can look across I thirty five expansion, my other jobs. I don't have a whole lot of test data in here, but basically for each job, have a section that would show all the materials that are available within that date range. You can look across date ranges and really figure out, you know, what your material costs are there based on that. So I've heard lots of different use cases for this tool. We've got some exciting ways that customers are using those, but, one of the big ways that I've seen it used is to add new options, which is similar to the time card entry. You can pull that from a specific PO, from the job info, or from the library, just similar to how you would on the iPad. One other thing that I've seen folks do is sometimes, you know, you might have, you know, a hundred units of trucking for the day or hundred hours of trucking. Right? And and that's what the the foreman submits on the time card. Card. But really what that looks like is there was actually ten trucks that were going through and doing ten hours each. So what I wanna do is, you know, find my trucking unit. I'm mean, I put in ten here. They were doing ten hours apiece. Sorry. The unit would be hours here at a hundred dollars an hour. Okay. So I've I've got every all the basics set up here, and what I can do is I now take that that entry from the foreman that just said, okay. We had a hundred hours of trucking today. I'm I'm now in the office. I've got my individual receipts, my invoices, and I can just say, okay. Here entries for that for ten hours apiece, or maybe this guy was actually eight, and this one was twelve. But I can reconcile all of my material expenses really quick, make super quick entries to expand on the work that the foreman has already done. So using the field entry as a starting point and then going in and quickly adapting or editing those as well. So this is for new entries. I can, again, use that quick copy function to work off of a starting point and then go in and hash out detail. I can remove those here easily as well. But I can also edit existing transactions. So we've got a few fields available just that you can grab really quickly. We've got a lot of fields available in this view, so, you know, just add the columns that you need. But once you hop into this date link here, that will allow you to really go in and say, you know what? You know, Adam Black is a great foreman, but he's new to this material workflow. He actually needed to put this on the soil compaction testing cost code. So I'm gonna swap that out. He put a rough unit cost. It's okay, Adam. We're not holding it against you this time. Just don't let it happen again. And this was actually a t and m workflow. So you can go in and quickly add notes, let the the system know that you've invoiced this now, and save those. So we realize that's another thing that's that's tricky about materials is we've got a lot of different steps where this is happening, and we need communication between all of these folks, between the truck driver dropping them off on the job site and foreman, between the foreman and the office. And not just the office, but we've got, you know, people that we're exporting it to for our ERP or accounting system. We've got folks that are working specifically on the invoicing workflow, and then we've got PMs and, you know, job engineers that need to see, how that relates to overall cost and how it's doing on the job. So, again, you know, this is where consulting services comes in really handy at getting the right people in the room and saying, okay. Here are the different tasks that we need to complete to really check all the boxes here and make sure that we have received this, that we've invoiced it, that it's hit in the ground, that we know how much is left over so we can use it on the next job. Yeah. And to add some more flavor to that, for what this tool is used for, I would say the way that we try to structure really heavy job in HCSS's field as a whole is easy entry in the field. If you don't have the invoice number, if they don't care to open up and find the vendor to select it, that's where all the information ends up in the office with those quantities, and then somebody can then rectify that and add that to make sure everything gets balanced back out for that billing. So, definitely a thing to keep in mind is we want to keep this as easy as possible for the field when it comes to enter that in, or really, it doesn't get done. Absolutely. And we know a lot of you have been using spreadsheets in the past for for this, so we try to set it up with a spreadsheet view as much as possible for easy entry. So, again, you know, I can check, okay, I've invoiced this. This was fifteen loads. Like Andrew mentioned, I can enter the invoice number and put a note in there as well letting people know that Adam might need some coaching. Really easy spreadsheet entry there. Okay. I don't wanna spend too much more time talking about that, but I did wanna touch real quick on the material and subs report. So under reports, it's down here by the pay item quantities. Similar to our other reports, you can, you know, filter this down by job, foreman, even cost code, types of materials, even down to your custom cost type. By now, created a hundred different cost types of because you didn't listen to Adam's suggestion. No. Just kidding. But, this report allows us to really quickly, spit this out in Excel format to upload into our ERP system, or just to, you know, answer questions that we have, about, you know, what is happening on our job sites, how this is looking at in relation to materials. One thing I really encourage you guys to do with these reports is really dig into these templates. With each of these reports, they're so flexible. There's probably at least four or five different ways that you can set up different templates, different columns with different options, groupings. So dive into those templates. You know, there may be four or five different reports that you can build out of this one material and sub report, and that's basically what templating is. It's allowing you to kinda create a custom report from these options here. We've got lots of different fields you can add here, allowing you again to see whether this is a T and M item, what the revision of it was, what transaction tags are there, and some of the more detailed information like subcontractors on-site. We kinda breezed over some of this, but all of that is on that field entry, on the iPad. Okay. So that's the basic gist of it. Before we hop back to talking about, you know, future changes or anything like that, I just wanna see if there's any more questions about what we what we had talked about on the demo. Oh, there there there's a there's there's one or two. There's one or two questions. Okay. I figured. I just wanna shout out to whoever's sending the emojis up. These reactions are killing me. Yeah. Alright. John, we'll start with we'll start with an easy one. Can you have one material? Kimberly's asking with multiple prices for two different vendors. So if you got fifty three stone coming in from two different sources, how would you handle that in PO setup? Absolutely. So and that's one of the the big reasons some people are like, hey, why do we have a PO here? Why do we need this third level? And that is one of the the big reasons here. So, not only can we do that for different vendors, different POs, but I can even go in and you can actually, I was gonna add one, but you can see it's already set up this way. So I can have two different setups for the same material. I've got these linked to different cost codes. You know, again, that that cost code material link that we saw on the time cards, we're able to drive that from that cost code quantity with that suggested quantity for the day. Let them know, like, hey. If if here's what we should be at. If, know, ten units is what we need and you're at twelve, then right off the bat, we know that something's wrong already on the field. So it's not just when it comes back to the office that we can catch these mistakes based on that link there. But, yes, the short answer is that we're able to create those those multiple connections. Yeah, there's a lot more versatility here with the web based setups than we had with our desktop, which really limited you from the standpoint of you can link one material to one cost code, and those are locked in. But as john showing here, you'd create a separate purchase order. Obviously the two different vendors are not going to share purchase orders. One hopes Matt, don't give me that look at it's not that's not a thing. All right. So two different purchase orders for those. You could even have one purchase order for one vendor with two separate line items for the different materials, just in case for some reason they're courting you different things for how they they go about doing things. So there's a lot of versatility here that enables that to happen. Jason was asking, can you adjust the quantities and costs? And I think that was here on this screen. So yes, once it comes in from heavy bid, the quick answer is yes, you absolutely can do that as John is showing. Yep. Yeah. And you just click on the links here either at PO level, material level, or the cost code level here with the editing and can adjust that that quantity. We got a couple of questions. One from Greg, one from Bill. Hi, Bill. I talked with you before. Asking, can we load POs through DIS from our accounting system? For those that maybe they taking their jobs from heavy bid to accounting and then bringing them in from accounting into heavy job via DIS. How do we do that? Double checking, I don't think that we offer that through DIS currently, but correct me if I'm wrong. Well I was double checking while you were talking earlier and so it's a it's a somewhat. Alright? So we do have a new form of DIS that goes through Workato, which does allow you to bring in POs and materials from your accounting system. Those of you using the the, like, the main DIS that we've that we've had for many, many years, it is not pull in POs. However, that being said, there are ways of handling this that our customers have been doing for a long time. And that is and I I saw I saw one of those customers giving props to Fiddler earlier. So I know he's listening on the call. But one of the ways of doing that is you go heavy bid to accounting and then accounting into heavy job to create the job. All right. And then we did add in functionality within heavy job that you can actually take it from heavy bid to an existing job, and it will recreate all of those materials and POs. Now we did that for a couple of reasons. One is for this primary reason here is that sometimes accounting is creating the job, but heavy bid has all those great setups already done. So let's just pull those in. The other reason is sometimes, you you pull it in a little too early from heavy bid and then he realized I don't want to recreate the job. Let me just pull it in and update all of those materials and stuff like that. So John's pulling that up now of how you'd go about doing that. So we're in an existing job. And we can, I think, go in there and import again from heavy bid and it will pull in the materials and those cost code links? I'd say if you are going around through accounting into heavy job and you're not pushing from heavy bid to heavy job. You're missing out on the materials coming across automatically, the pay items coming across automatically, the cost codes and pay items being linked together, and maybe most important, you're missing the crew breakdown and activity notes from heavy bid and expected production, so all that really cool stuff that heavy bid knows about, and we make them both, so heavy bid can tell heavy job about. If you're going through accounting, there's some reasonable reasons to do that, so I'll give you an asterisk and a partial out, but as much as you can, we want to push from heavy bid to heavy job and accounting, So that way we can feed both your accounting system and heavy job with as much good information as possible. Yep. Yeah. Yeah. And if the idea is to you know, like, we know some folks have a very strict PO numbering system. Maybe it goes across the whole company. And so we want, you know, maybe the ERP or the accounting system to be the source of truth for that. So this doesn't create the full relationship here. But for those that are that are using our APIs that are integrating with that, go to developer.hcssapps@hcss.com. But we do have the ability to create the purchase order through APIs. So you can go through, update the status, create the actual purchase order. So, you know, there are some options there through APIs to to automate that a little bit more, say, oh, you you know what? We had to call into the office. We had to get a PO set up. The API pushes it to heavy job. And now by the the time the foreman completes his time card at the end of the day, he's got that as an option to select from. So if you're looking for those real slick integration options, we do have some of those as well. Good. And we got a couple of mobile questions that came in. Sure. And so we'll throw them out. I don't know if, John, if you're you'll answer these or or Andrew can jump. One's a request from our friends, Jake and Julia. Coming from different parts of the country here. Can we take a picture and associate it with the material receipts in mobile and have that viewable and all the other parts of the system? This would be huge in all capital letters. Yeah, I guess the first thing that we're working on with photos is really redoing some of the structuring in order to make it work better. So, we do have more or less a revamp of the photos module on the roadmap. Some of the things that we have planned are more in line with tagging to cost codes. We will take this into consideration while we're building it out to see if it's something that makes sense to do at that time as well. So, no promises right now, but knowing that we already have something on the roadmap planned for photos, we're going to see what we can do. Sounds good. And another mobile question from Julie. Hi, Julie. If we have a T and M contract with do not exceed hours for a particular cost code, how does a foreman have visibility right here in the field app of how many hours have been put in on that cost Basically, can somebody in the field with this functionality that we're seeing here see how many hours assuming labor hours have been put in for a particular cost code at any point in time? And I don't know what Matt thinks about this. I think job analysis would definitely have it. All right. So, John, if we go back out to the main home screen. Man, hit job analysis up there at the yeah. There we go. So oh, it's a yeah. Okay. And you may have to expand it out to date range to list everything or something to Say if I'm the only crew leader on that project, my time card analysis, so even from the time card screen, I could say show me to date if we have several crews on that project and I have access to the job analysis. This one would be cross foreman, so I'd say those are the two, the fast answer if it's a single crew job, or the couple extra clicks answer if it's a multi crew job. Yeah. And I don't have a lot of time cards sent for this job, but you can kinda see in the background, you know, percentage of labor hours used, percentage of budget spent. And then that breaks down even more by cost code with some options here under the settings. So definitely something worth diving into. Lots of cool new updates here in the section as well. Yeah. Julie, you you have the form and click on the cost code list that'll appear there. Obviously, once you get once you get data in there, you'll you'll see that cost code list and you can click on that and they'll be if you happen to show them costs, it'll be in there, but they'll have hours in there, which is a big important thing. And getting a three minute warning from Reed. So there were a couple of questions around truck tracking from Kyle and Jerome. We're not going to dig in for this session. However, we have some fun stuff that is in the works for that. So that will hopefully be coming coming soon. I think we can we can talk about the rest of the slides.
