All right. Hi everyone. Welcome to our Fleet Quarterly Webinar. We're super excited to have you join us today. And today we're gonna talk through some key updates, showcase what's coming next. And then also just make sure you leave with some strategies to help you get the most out of our platforms. We're going to wait just another minute or two to let everyone log in and settle in. All right, let's go ahead and get started with our webinar. So I'm Sarah Chui, I'm the product marketing manager here specifically for Fleet, and I will be your host today. We also have our fearless leader, Phil, and then we also have our telematics expert, Chris O'Connor, and additionally, our equipment three sixty expert, Hayden Price. And so with that, I will go ahead and hand it over to Hayden for Equipment360 updates. Perfect. Thanks, Sarah. A couple quick updates here. First and foremost, if we can go to the next slide, Sarah, we have continued our progression on really optimizing and making the initial sync of the app more performant. We've seen this over the last couple quarterly releases now. We've focused on a few specific areas over this past quarter, and that includes equipment and parts as being the primary focus and a lot to do with the company wide setups, meaning if you're an enterprise level company, especially, you're going to see a lot of improvements around how we handle syncing by the BU or company wide settings. Some examples of of those items would be system preferences, your vendor list, work item code list, work order tags. But again, the the purpose of this initiative, we've really just been working to get those initial syncs much more performant, get those mechanics spun up and working in the app much more quickly. On the next slide, we have a little highlight here. In one of our previous releases, we also showed you the new feature for time card certification questions. We did actually get the feedback directly. I think it was in one of these webinars. So we always value your feedback And we heard you on this. We do have a time card certification tab now on the review time card screen that you can see and quickly audit those responses and look at the response date directly from time card review. So especially important in those heavy compliance states. Hopefully, this will help you guys out with all of those time card processes. Just a reminder, I did show this in the last quarterly webinar that our weekly time card report now displays everything that you need to know for compliance, which includes signatures, time card questions, and a shift breakdown, which we highlighted last time in a single report. Another quick highlight here. Phil, you have a hand. It looks like we had a quick question. Mike Walker wanted to know if there was an icon on that tab if the response is no. So we have not done yet that quite yet because we're going to be looking at free form responses, and we are going to be evaluating how we're going to handle that with multiple different response types. That is something that's come up, but thank you, Mike, for for raising that. I'm assuming if that's the case that you guys are working that, and I'd love to catch up with you on that and and kinda get your feedback on that. So the answer currently is no, but something that we are planning on doing. Another quick highlight here, expanded integration with HCSS Safety. I've heard this I've had this requested several times throughout the years, and that is being able to get updated equipment locations from safety inspections, which we currently can do if there is a failure reported on one of those inspections to the shop. Right? So we get that alert. We can update the equipment location. We've had the ask to be able to update locations from all safety inspections regardless of anything being reported to the shop. So we do have a new task that you can create to update locations from safety. So this is purely an opt in thing. If you have telematics on all your devices, probably not something you need to worry about. But this should be looking at the time stamps on when it was reported on that safety inspection and only updating if we don't have something more recent from another source. So short and sweet on Equipment three sixty. Let's hop into MaintenancePro. Again, MaintenancePro, the story with this. This is a light web based maintenance and work order system that we have built on top of telematics that we are building out and really getting moving along with functionality in this. So this highlight in particular is actually within telematics Connect. We do have a maintenance request module within there. We showed that off last time. We added the ability to submit requests along with a note and photos. So that is already available in your HCSS Telematics Connect app. We'll be talking a little bit later about what we have coming next, but go ahead and hop on to the next slide. This is kind of a telematics web app highlight, but we did with the MaintenancePro story, obviously, like I mentioned, we have those work orders. We did build in document functionality that was previously gated behind MaintenancePro, meaning only if we had MaintenancePro turned on for assets, we could do documents at the work order and the equipment level. Highlight here is the equipment documents tab is now available for all customers free to use on any piece of equipment in telematics. And, yeah, free to use. Start uploading documents to telematics. It's just a new tab within the equipment detail. And I will hand it over to Chris here to talk about telematics. Thanks, Hayden. All right, so in this quarter, we have some new OEM integrations releasing. We've added Bobcat and we will be adding Sakai as well to our list of OEMs. We get all the standard information, location, hours, idle hours, fuel and DEF levels, and fault codes. Those will all be in the list of OEMs that you're used to seeing in the device manager section. Then next, a big thing that's obviously been asked for I'll get to that, John. A big thing that's been asked for is report performance. So we did a lot of work this quarter and we'll continue to do work on improving the report performance, but you should already see a noticeable improvement in reports that utilize location entry exit. So that's things going in and out of geofences and how long they spent in there, and you know, how much an equipment ran inside a geofence. So your big reports are going be your location entry exit, obviously. Then your job summary and heavy job exception reports as well utilize that logic pretty heavily. So you should see some major performance increases there when running reports for large data sets, and we'll continue to work to make those more performant as well. Sarah, if you want to go to the next slide. So coming soon, stuff we're working on that won't make it to the September fourth release but will be out after for telematics is going to be Case SiteWatch OEM. So, we already integrate with CNH on their ag portal, so if you run any of their tractors, can integrate those, but we're working on integrating their construction side which is in the Case SiteWatch, or soon to be MyCase portal as well. So that'll be later later this year, we'll have that integration. And let me go ahead and pass back to Hayden to talk about e three sixty and Maintenance Pro. Hey, Chris. Future updates. Equipment three sixty coming soon. We are doing some back end work to get the HCSS notification service tied in with Equipment three sixty's personal alerting system. If you're not using personal alerts, that means I can send an email or a text message to specific people when we get alerts coming into our dashboard. Currently it's using email to SMS, which a lot of carriers are deprecating that entirely. So if you're using SMS currently, you might have noticed delays or just users not receiving text messages at all. What we're doing on the back end is moving that over to a proper SMS notification service. So personal alerts for text messages not only come through, but they come through quickly. And then we are going to be moving into working on this pay adjustment story. And that's going to solve a handful of things, most notably per diem. We've had users asking for a couple of years here, how do we handle per diem? And we have some workflows that can kind of be baked in that are a little hacky. But what we're looking to do with pay adjustments is being able to set up multiple pay adjustment types. You can account for things like per diem or rig pay or travel based reimbursements all within the mechanic time card and include those in the export to payroll process. So, yeah, that's gonna be a big lift. But I think a lot of you have been waiting for this for a minute now, so very happy that we're getting started on that. On the MaintenancePro side, we're working on getting those work orders that I was mentioning in MaintenanceProTelematics into Telematics Connect. So being able to create work orders, view work orders that were assigned to me from the web system, and so on. And also getting our safety inspection process integrated with this web based platform. We currently have maintenance requests integrated with Field. We have service, service reminders and basic work orders. So safety inspections was kind of the next logical step as far as integrations. So that is the coming soon. I see we've got a couple questions. First was Lee. So Lee, I want to say that we talked about we don't have any plans on building a specific, like recall module within three sixty currently based on the other priorities. We had last talked about leveraging E360's APIs about either directly creating work orders for recalls or creating alerts. So we may have to revisit on that conversation. We can meet offline on that, but I don't know if any progress had been made on that. I do remember we met with some some of the people on the the tech side that could handle those API communications. So feel free to shoot me an email if we need a follow-up on that. We have Dick Logan. Is there any integration between all the web based apps and e three sixty work orders? Sorry, I. E. Work orders in Telematics Connect and E360, the answer is no on that. MaintenancePro is a totally separate application. Obviously nowhere near feature parity with Equipment360. So right now it's intended to be a light module for people that may not be ready to dive into Equipment three sixty. Although the long term vision and plan is eventually to have this enough parity between the apps that we can begin to migrate people onto this web based platform. Is there anything that I missed? Any other questions? Thank you guys for asking and interacting with us here. Hayden, I think Amy had one about the let's see. Any updates on a possible overtime tool? Without this, the import process is time consuming. Yeah. No updates currently. We've we've been hearing that more and more. That might be one that we can talk about offline as well. We we have had some discussions on potentially looking at what we can do to better improve that process, especially with time cards coming from field and three sixty, because there's also a story there between cross product users and and and how do we handle overtime between those. But I'd be curious on your feedback if this is just a three sixty need, or do we have people that are traditionally using HCSS field and three sixty and the overlap between hours on those two products? So I'm happy to follow-up with you offline on that one. Alright. Looks like we've got Corey. Any any updates on additional third party telematics? I can go ahead take that one. Yeah. So, Corey, we are we do have several in the can or in the queue is probably a better way of saying it. We can't share anything yet until we get through partnership agreements and all the data sharing legal paperwork. But yeah, we are working actively on three or four other major third party providers. So, hopefully more on that next quarter, which will be the release, I believe right before UGM, we should have some stuff that we can share with you guys. Yeah, John. So it's it'll be very early Q4, if not the end of September that it'll be finished. It's just not gonna be ready by the September fourth launch. Let's see. Jason asks, are there any plans on creating alerts that are similar to PMs but not actually specifically PMs? Are you talking about, Jason, you asking about like inspections or registrations, things like that? So, he explains more down below. So, SOS related items or other things that we wanted to be alerted on based off data or other triggers. Not yet. The eventual goal is that we are gonna add, a lot of the things that are currently in Equipment360, like certs and licenses, warranties, things like that. So once those items get in there, we'll be able to alert you on those. We just don't have a timeline to share with you on that yet. Then Jeffrey has a E360 question. Thoughts on multi person time cards, like a mechanic putting time in for themselves and a technician? And then there's some other plus people wanting it down below as well. Yeah, Jeff. Talked about that internally. We really just kinda have to kind of have to be careful about how we implement that just because the time card is is kind of the core mechanic on how we license the mobile app. And so it's I realize that's a need for you guys. It's just something that we haven't really figured a way around to make sure that we can help you guys out that need to capture helpers and things like that with the and while still maintaining some of the protections we have over the licensing. So, we are talking about that internally. That is kind of part of that pay adjustment story but we just I don't have a good answer for you right now. Alright. Time clock inside is the time clock inside e three sixty possible? HCSS field integration kind of thing? So I've had that question come up before. And with I I think the answer is, I mean, basically a hard no right now based on how mechanic time cards work in e three sixty, meaning we have to I suppose we have a similar dilemma and and field where we have multiple cost codes, but I think that spreading the hours to the work order and I'm curious to hear your your feedback on this, but across multiple work code, item code setups, is that realistically going to be a better workflow than just going in and plugging your hours into those. I I I could just see that getting quite messy. So curious to see if there's any more wants for that and and maybe ideas around how that would work with how the e three sixty time card works currently. Looks like Oh, so Walker sorry. Mike Walker is saying we just need the clock to set the time on the schedule side, which that would be fairly straightforward, I think. Is that similar to what you would be looking for who asked that question? Travis, as far as are you expecting that to build our shift breakdown? Are you actually expecting that to enter hours across work items on the mechanic time card? Just for shift breakdown? Okay. That's that's definitely a lot easier. And it seems like there's a few of you asking for that. So and Mike is saying clock in, clock out within our app. So follow-up for for Travis then. Would you see that in e three sixty mobile or I think you said field or you're just saying like field? No. You said a HCSS field integration. So I guess my question would be I think I agree with Mike here. It would probably if we did a clock in, clock out, it makes sense to do within our app since we'd be populating that shift there. Okay. Okay. Seems like we're aligned there. Cool. Before we get start going too far down, there's some other questions. Is there a I think for time card allowing one time card for mechanics loaned and charged multiple companies in a week? I'm not sure if I'm understanding that question fully. Does that sound like anything, Hayden? From Lee? It's like I'm reading. Allowing one time card from Mechanics loan and charging multiple companies in a week. I'm probably gonna need some more context on that one. Alright. Put that below, Lee. Just that'll help, but move on. Is there a way to import a sheet for bulk work order creation? Currently, only through API. We do not have, like, any Excel or CSV imports, but this kinda ties back to Lee's question earlier about they have a business need of they have a much higher, if not all in some of their business units, concentration of over the road vehicles where most of our users are off road heavy equipment. So recalls aren't really as I should say, on the heavy equipment side. But, yeah, this ties back to that conversation that we were in talks with them about getting all of those work orders or alerts created through API. So, yeah, the answer is there is a there is a way to do that through APIs, not through any sort of Excel file, though. Okay. So yes, but it's not correct. Alright. Jason, I think Phil answered it, but I don't think he sent it to the right chat. No, there are currently no plans to integrate with Visen. Let's see. Any movement on adding a spare equipment checkbox in E360, I. E. Service equipment, leased, rental? I believe those are already there unless I'm misunderstanding the question. Hayden? Yeah. I we should have leased and rental checkboxes, John. We don't have one for service equipment, But we do have the flag for service equipment, so that shows up under our equipment charges list. So I guess I would need more context on what we're trying to do there. Spare is not available. Yeah. Mike kind of confirmed there. It's the same code you have in the MyField app, so clock in kind of events like that. Thomas asks, What happens when an employee is working on work orders and sometimes their time is tracked in HeavyJob where where it toes the where I imagine does where does the employee see his hours? My field or or like my field for field? Read that No, I yeah, I got it. So, currently, it's if they're doing field work and that needs to get pulled into and you need to have cost visibility on the job side, that time would be entered in in HeavyJob or split, depending on what your business process is. Right now, there is no good way to lump all those hours together in one place that's not accounting and see what they are. That is part of the part of some conversations we're having internally to figure out the best way about that. I know last year, I think every one of you that were at UGM kind of put two hands up when we asked about a single export to accounting. And so, there are some conversations internally for us to figure out exactly how that would work. The time card portion of it is part of it. So, it's although not a great answer, it is a little bit more complicated than it might appear on the surface. So no answer right now. We are actively talking about it and looking at a solution. I just don't have anything to tell you right now. Okay. Regarding Dispatcher Pro updates, that will all be on the ops webinar. We're working with the ops teams on where to best integrate the Dispatcher Pro features, Resource Planner features with the fleet system. Yeah, one of the I think one of the obvious places is on the telematics side, we have equipment move scheduling and so, you know, if you're doing your two week look aheads in Dispatcher Pro, one of the things that we're looking at getting down is actually the, like, how we're gonna schedule the trucking of that particular asset if we need to move a dozer from job A to job B, we need to assign a driver in a moving vehicle. So, that is gonna be one of the probably one of the earlier integrations that we do once we get Dispatcher Pro pulled into the op side of it here. So, kind of going back, hopping back up, it looks like Lee and Mike are talking about doing a parent time card that shows the details for all child business units. Kind of on the line with where was it? Sorry. Dispatcher Pro is web based, Jason. No. I assume that's what Lee was referring to when she was talking about on loan mechanics and their logging time against multiple BUs. Yeah, that's not something that we have started planning on at all. But I'm guessing since I'm seeing Mike talk about this as well, that there's more of a need than just Lee asking about it. I think, Lee, we need to probably follow-up on the recalls story again, either way. And I'd like to understand that story a little bit better too. And yes, Jason, dispatcher pro or it's going to be called something else. What is it, Phil? Resource Planner. Resource Planner. Yep. I'm sorry. I should definitely know that, but it will be branded as Resource Planner. The company that we acquired originally was it was called Dispatcher Pro, but will be called HCSS Resource Planner. And like Phil mentioned, we will look at doing that integration with the equipment move scheduling part intelie to kinda recreate what we had with our dispatch driver screen if we're dispatcher users. But as far as updates, road mapping, everything, Resource Planner is going to be managed on the operation side, so I'm sure they're gonna start talking about those in the operations quarterly releases and and webinars. Not in the near future, Jason, but that's definitely a question you'll wanna talk in the, ask them by the operations webinar. They'll have more information on that. They ask, will resource planner, replace the original dispatcher? Wow. We got lots of questions this time. Yeah. I think we've caught up on these. A couple of them need follow-up. I did put my email in there. It's just hayden.price@hcss.com. For any of those that I said we should follow-up offline, shoot me an email, and we'll we'll talk through them. Mike coming in with one more here. We have our own reporting resource outside of e three sixty, but are y'all doing anything with insights yet? This is a good question and something that I'll be talking about next quarterly release. But we are about to be pushing up for anybody that has insights for direct access. We're going to be doing nightly snapshots out of three sixty the basically, not to get too technical, into the new reporting databases that Insights use. So if you have that turned on, we'll be uploading nightly snapshots. However, I will say the platform team does have some work to do in regard to actually mapping and making e three sixty data available on the front end of Insights. But we are actively working through on the the three sixty back end side of getting that data up so that Insights can display. Yeah. Mike also asked dispatcher too. I'm assuming a classic dispatcher to insights. So that that's probably gonna be a next priority for the insights team and whatever data we need to push up, if we need to push that somewhere else. Really, I would have to chat with the insights team to to kinda figure out where that is on their road map. Pushing the data up that we have pushed up for things like direct access shouldn't be much of an issue. So I don't know if you talk to anybody on the platform side, Mike, but I would need to talk to them also to see where that's on their their road map. Nuno asked what kind of data can we expect to see there? I I assume that's in regard to e three sixty and insights. We are literally uploading all of the, basically, database tables minus back end document related stuff. So they will have all of the data. At that point, it's a matter of do they have it mapped and available in Insights. So the answer is they will have access to basically your entire database. John Stephens asked, how about scheduling a true up process? That's one that I haven't thought about for a minute. And actually, John, I think you're the first to ask me about it since we last talked about it. Interesting thing there is we did open up for our HCSS internal custom development team to be able to do all that through API. So there is a path typically from web based ERPs to have all of that be automated. With the initial release, like what you're using right now that's doing the flat file transformation, I don't have that penciled into the road map yet, but something we probably need to revisit. But I'm happy to hear it sounds like you're using it a lot. Using it enough that being able to schedule it would be necessary. Once a week? Yes. Is John's response. One sec. Oh, one more. Are safety QR codes scannable within maintenancerequest.hcssapps.com? They are. Whether the QR code there is a little bit of tech gap between if we generate QR codes from safety versus three sixty, they're technically two different QR codes. But if you use either one of those, it will look up the equipment code and bring you to the right piece of equipment in the maintenance request app. So the answer is yes to whether you're you're generating those out of safety or three sixty. Alright. Looks like we caught up. We need to give it a couple more seconds to see if anything else rolls in. Yeah. There it is. Let's see. Are are there APIs to export out accounting costs to e three sixty? So from accounting to e three sixty? From accounting to e three sixty? I mean, we have we have Cost Ledger endpoints, Jason. I thought you were going the other way there, and I was gonna say we do have a time card endpoint for three sixty. But as far as cost accounting cost, I might need more specifics there. Really, the only workflow that I could think about would be work order cost ledger, which we do have an endpoint for. And, yes, Tomas, that should be that should be working. So please do call support, and we'll make sure you get squared away. Alright, great and Sarah, can you click to the next slide? Yep, I can go ahead and finish this up for us.
