We're proud to kick off this year by sharing a look at the latest releases across our HeavyBid products and show you what's new today. But before we jump in, we want to introduce ourselves. My name is Melissa Teague and I'm the Product Marketing Manager of our HeavyBid products. And I have the opportunity to work closely with our customers to better understand your day to day workflows. And then that insight kind of helps shape how we support you. So whether it's webinars like this or blog content or product one pagers, I'm in charge of designing our resources that makes your work a little easier. And I will kick it over to Aaron. All right, good afternoon, everybody. My name is Aaron Allshouse. I'm the TPM for HeavyBid and HeavyBid Desktop. It's great to see a bunch of familiar names on the attendees list, and we're going show you what we've been working on. Erika. I know I was looking for that mute button too. Hi everyone, my name is Erika Vincent. I am the TPM for preconstruction project tracking, and I'm gonna share what we have done recently in precon. And welcome, everyone, and I'll pass it to Paul. Hi, everyone. Good to see you all again. My name is Paul Lambert. I'm the TPM for both quotes and proposals, and some of the other things that fall through the cracks a little bit. So we're going to be sharing all the massive, changes to proposals and the customization options there. Awesome, thank you guys. And a few really quick housekeeping items I wanted to mention before we jump into releases. First thing is, you know, this past year we've done quarterly releases or now we're calling it seasonal. And so all of our products across HCSS will be released on the same day and time. So today, January fifteenth, we have our winter 2026 release. And one thing that we did differently this time was that, that we'll continue to do, is we do a joint webinar across all of our HCSS product releases. So you have one hour condensed webinar where you can learn everything. So that gives all of our customers a chance to just see the latest and greatest across all the products, the whole HCSS platform. So you can really see how we keep driving innovation to help contractors across their entire project life cycle. So if you didn't get an email to that link for the webinar last Thursday I'll drop a recording in the chat as well. And then wanted to also of course talk about UGM. So we have our users group meeting next week. Can't believe it's here again. So fast. And so this is if you're new to HCSS this is our annual users group meeting. So this is our conference where we invite all of our customers and then you get a chance to have in person classes to level up your knowledge or skills for whichever HCSS products that you own. We have product specific town halls. So this gives you a chance to tell us everything you want, need in our products. We share with you guys future visions and get your feedback live. So it's a lot of interaction interaction between actual users and our product teams so that they can really build what you need to make sure you're successful. And then we also have roundtables and panels where you can chat with your peers on hot topics in the industry and learn from them, how they're handling this and that. And then last but not least we have our end of conference party. So we invite everyone to Minute Maid Park. This is the home of the Houston Astros. We have some fun live entertainment, customers in batting cages, hitting home runs of course and so on. So it's a real fun event and we hope you can make it. So first we're gonna kick off the webinar with talk a little bit about a rebrand we're doing across HCSS, talk about HeavyBid preconstruction releases, our new web based HeavyBid releases and then a live Q and A at the end. But of course, if you have any questions, please drop in the chat, we'll answer it as we go. So HCSS product rebranding, nothing's going to change too much for Before you probably saw estimating here, it's just changing to HeavyBid. You might have seen operations here is changing to HeavyJob and then fleet is now HCSS Fleet. So we did this just to bring all of our products under three primary product brands: HeavyBid, HeavyJob and HCSS Fleet. So nothing's changing with you know your logins, user information, nothing like that. It's just going to look a little different with the naming. And so again we've kind of hit on this a lot last year but our HeavyBid beta is now launched. We launched it back in October. That's referred to as HeavyBid. Our HeavyBid desktop product you'll just see desktop kind of written behind it and marketing collateral and stuff just to differentiate the two. And then of course HeavyBid preconstruction stay in the same and this is for our desktop customers. All right, so on to releases. So this release HeavyBid 2026 winter, it's really going to hit on, you're going to see it's going to help you with a lot less busy work and a lot less risk. And so Erika is going to talk about our HeavyBid preconstruction new releases and Aaron and Paul are going to walk through some updates on the new web based HeavyBid, what's been launched since October 20th, and then also what's being released today. All right, and I'll kick it over to Erika. Awesome. Thank you, Melissa. As Melissa mentioned, in preconstruction, we have released a really cool feature, bulk updating. It is similar to the feature that you see in the project details list, and this really saves you time. Now you can mass update, select the estimates that you want to include in your reports or you want to exclude with a bulk action. So it saves you a lot of time and hopefully it makes your day go by faster. So I wanted to share my screen and show you how this looks like. Here we go. So in preconstruction, when you come to preconstruction, we always land on the projects page. Remember I mentioned the bulk actions? We have them over here, show bulk operations. This check mark selects, and then you can choose what you wanna do, archive or delete. So now these actions, similar actions are under estimate insights. If you go into estimate insights, you have all your estimates, you go three dots, and then you click on show bulk operations. You have the same select all check mark, or you can select multiple in a row, and then your choices are to include or exclude estimates. Let's say I would like to exclude the estimates. It gives me a note asking if if I really wanna do that. I am confirming. I get a note letting me know, yes, this happened. So this is great. So now if I go to show hide columns and then I choose a column that has all the excluded estimates, I can view them too. So I'm gonna select that. And then if I scroll down, I can see which estimates are now excluded. I can drag this column a little bit closer to my list, and I can see that even better. So this is the change that we made, and hopefully that saves you a lot of time. Yeah, any questions? Okay, I don't think I see any. Well, Melissa, then it's back to you. All right, I think we're going to then kick it over to web based HeavyBid, where Aaron's going to show the latest releases. It looks like, Erika, don't so wait too quickly. Got a chat about what about bulk field update? Yes. Good question. Not yet, but it is on our radar. Thank you for bringing that up. All right. Well then, I'm gonna jump into the software because if anyone has ever sat in any of my UGM presentations, I hate slides and I'd rather be in the software. So that's exactly what we're gonna do here. So bear with me just a moment here. And yeah, there we go. Okay. All right. Okay. So we're gonna talk about some of the some of the fun and exciting things that have been done in in HeavyBid Web over the last couple of months. We're going to start things off with a little bit of a revamp in the how we access the ability to add new function or add new activities, add new pay items, add new WBS items. So in the instance of when I'm in a particular estimate, if I'm in the tree, I can right click on that item and now we have a revamped right click menu. In this instance, we have broken out the ability to add new items, whether that's a pay item, a WBS, or an activity from the library as well as adding them on the fly. So adding a blank activity or add on, adds it on the fly within the pay item, or WBS structure that you're currently in. Adding from the library will bring up the source and select, shopping cart functionality that we have. We're gonna demo that here in just a quick second. But in the event that you are in any of the activities, if I right click on that activity, again, we get additional options down here such as duplicate activity if I wanted to copy that activity to multiple, to a different pay item. Now, along with that right click option, we kind of did that because we finished the pull from library functionality. We're able to bring those assemblies into the estimates. So what do I mean by that? Well, in this case, we finished up the WBS library and attaching assemblies to the WBS library. So as I'm in my estimate, I can right click and click add from WBS library. We automatically funnel to the WBS library. But don't fret. If you misclicked, you can always click the drop down and select from pay item or activity library. In this case, we get a nice little search window. I can key in any of my searches. So 033100. If I'm using a CSI structure, I can select that item. Or if I want to search by keyword, I can search by the keyword here and bring in my storm drainage. You'll see to the right, we get a nice little summary of all of the items that we're bringing in, at which point I can go ahead and I can adjust the quantity to whatever it is that I want. And I'm just going to go ahead and I'm going to fill some in here just because why not? And you'll notice to the right of that based on what I have in my activity library, I already have crews. Some of these items already have productions and production rates, which they will come in. If they don't have a production rate tied to them in the library, they'll come in with no production type or rate, in which case I just jump into the activity the same way you do in desktop, and I adjust my production type and my production rate. I'm gonna go ahead, I'm gonna save my changes. And you'll notice my structure automatically comes in. So I'm going to take a look at my concrete items. In this case, I've got my common excavation and my asphalt concrete. My asphalt concrete, I expand it. I can see my crew. I can see my productivity type and my rate. Everything pulls in just the way I want to see it. So that's the changes we made in regards to the library. If you haven't seen what we've already done with the library, I encourage you to check out some of the past webinars where we've talked about setting up libraries, bringing those items in. Chugging right along, let's take a look at one of the things that we have done, that is we have we have finished our MVP for export to accounting. So we now have a conforming screen, and I'm going jump to a bit that actually has more detail in here. So we jump to the conforming screen and you'll see the pay items and the activities, quantity unit, same thing you see in the export to HeavyJob and accounting screen and desktop. You're going to see your cost code column. In this case, depending on the accounting system you use, you might have one, might have two columns for cost code one, cost code two. And again, depending on what accounting system you have, those things are called something completely different, whether it's cost code, whether it's phase, whether it's category code, item code, whatever the case is, it's all over the map. So instead of us trying to remember that, give you the ability to rename those columns here to whatever it is that you want. And you can name that on an estimate by estimate basis. Or you can jump into the library, rename these once, set it and forget it. So every estimate moving forward has those new cost code designations. I get to choose whether I'm using one or two cost codes. And I get to choose whether or basically what I want to call them so that they actually mean something to me. Alright. So those are the changes we've made in the conform screen. Right now when we fill out our export to accounting, we have the nifty export to Excel that's going to dump dump the export out as an Excel, allowing you to conform it and import it into your accounting system. But we also have the API export where we can export it out as a bulk API endpoint, allowing either yourself or our integrations team to conform that and send it to your accounting system the way that you need to see it. Now moving right along, we're gonna take a look at the review screen. We've had a we've had a quite a few changes in the review screen. So for anyone that has seen this screen before, prior to what the changes we made, everything was based on price. So you'll see here up in the review by default, it's based on the price breakdown. What do I mean by that? All these numbers have markup in them. So all your equipment type items have markup. I can expand that. And we're going to get rid of WBS. And I can look at my activities. Those activity dollars right there have markup in them. And that's great. And you'll see I have cost, I have markup, and I have my total price. But what if I just want to see cost? Well, I can go over to my review and I can select cost. You'll notice here the markup and the price are now removed. These numbers down here adjusted ever so slightly based on the markup dollars that I have in this particular estimate. So you get the best of both worlds if you want to view it by cost or you want to view it by price. One of the other big things that we've talked about was we wanted to get some reporting into HeavyBid. So the first report we wanted to tackle was HeavyBid's bread and butter report. It was the cost report. The cost report is the bread and butter report, but it's also kind of the most information dense report that HeavyBid has to offer. So if I go ahead and I run the report, this is the new cost report. Basically, you're going to get is you're going to get a cost summary of your cost type dollars as well as their percentage of total for that particular estimate. Your total cost in the bid, and then just like you get in desktop, you're going to get your pay item summary. So you get your pay item code description, quantity unit, unit cost, and total, as well as what that pay items percentage of the total is in that estimate. Breaking that down a little further, we get our activity information. So again, quantity calendar, we get labor hours, equipment hours, unit cost, crew, crew product productivity type and rate, total crew hours, well as the activity breakdown. So if we have crew resources or other resources, we get all of that information right here in the report. And then if we scroll down a little bit here, I thought I had some add ons in here, but you'll also get a line in here for add on dollars. It's gonna basically state what the add on is as well as the total dollars generated for that particular add on. Now with these reports, they are HTML reports. I can go ahead and I can print them off. And zoom chews up all my bandwidth. But basically, what it'll do is it'll print show up just like any other document you open up, and you can choose to save it as a PDF or you can print it directly in Or you can print it directly. In this case, I can print it or I can save it as a PDF. And with this, you'll get page breaks built right into built right into the report. We're gonna cancel that. Now question comes up. Does HeavyBid web conforming export have the ability to import directly into one accounting system currently? It does not import directly into E1, but that API export that we that I mentioned, we can then take that and conform it directly to whatever E1 requires. Extractions, resource coding, bonds still to come. Resource level extractions are currently being worked on in this quarter. So tune back into Q2 webinar, and you'll see that resource loaded extractions. For Q4, we focused on activity level. Q1, we're focused on resource level. How many tiers of bid items a parent child can be used in the new tree? So pay item setup, you just have the straight pay item list. It's pulling one level. However, with WBS, there is no limit. You can put as many levels as you can possibly dream up. Can you add an option in the right click feature to copy slash pull in activities from past estimates as another option for pulling in from the library. Come back in in a month, and I'll have something to show you. We are working on that as we speak. Are the updates for reports and export to accounting you're sharing for the web version going to be available for the desktop version? Right now, they are strictly for the web version. Think that's all the questions that that came up for the for the moment. I'll keep a keep an eye on the chat here, but we'll chug right along here. The the next report we wanted to look at was kind of a reimagine of a summary report. In this case, we're going to take a look at just an estimate level summary. In this case, we give you direct versus indirect dollars. We are making use of these little charts here to try and give you a graphical or a visual representation of dollar allocation in the estimate. So we're going to give you direct costs versus indirect costs, as well as your markup dollars broken out direct to indirect, and show you what that percentage distribution is for the total price in the estimate. We're then going to take those dollars and we're going to break them down by the cost type summary. So just like in the cost report, we give you cost type breakdown as well as the percentage of those cost types in relation to the total within the estimate. From there, we're going to take those cost types and we're going to break them down just a little bit further. And we're going to look at total cost, percent of cost, markup dollars. So you'll see here I have no dollars in my equipment. Is that correct? Or do I need to go back and add my markup to my estimate? Reality is is I'll probably need to go back and add my markup to my estimate. But this gives you a nice, way to see that. I have my total price and my percentage of price, and we break that down for directs versus indirects. And then just like in the cost report, we have a line item in here for our add ons. So you can see what your add ons are as well as the total that they are contributing to the estimate. Another question came in, Will the desktop version of HCSS go away in the near future? The short answer to that is absolutely positively one hundred percent no. We are still two years away at the very minimum from even discussing how we plan to even, sunset HeavyBid desktop. So HeavyBid desktop's not going away anytime soon or even what I would call the near or even remotely far future, distant future, potentially, but not anytime soon. Alright. And the last thing I want to show you, which is a great lead in to Paul and his talking points is we're going to talk about subtotals. One of the things that we've been working on is the ability to have subtotals in the estimate. And in pay item setup, there is a new button called plus subtotal, conveniently called. So within that subtotal, basically, all we're doing is we are giving that subtotal a name, whatever that name happens to be. And I'm just going to call it phase one. And basically, get a cherry pick of what items you want. So I'm going to add those items and you'll notice based on code it automatically sorts alphanumerically. However, if I want to reorder that, all I need to do, click and drag How I want it showing up. For anyone in this chat that's in the beta, this was a request. Be able to click and drag to reorder pay items straight from the beta program. So hopefully this helps out in reorganizing the pay item list for y'all. But if I want to see those items within the phase one subtotal, I can expand that list. I can see those items, and I can reorder that list within the subtotal as well. If I want to rename that subtotal, I just click on the edit. I come in. I rename it. I can also un add items from it and come in and add something else into that. If I want to add an additional subtotal, I can come in, add that additional subtotal. We automatically filter to items that are not part of current subtotal, allowing you a better idea of what still has not been subtotaled if you choose to subtotal everything in your estimate. And we'll call that phase two. Go ahead and save. And again, it's going to show up at the end of the bid and I can reorganize that to basically show wherever I want it to. I can expand that to see the items. And once again, I can go ahead and I can reorder that. If I want to just completely get rid of it, I have a nifty bright red trash can item in the subtotal line I can basically delete, or I can click and I will delete the subtotal. The items that were part of that subtotal do not get deleted. They just get removed from the subtotal and inserted back into the proposal list. With that being said, I'm gonna turn it over to Paul at this point, and he's gonna talk to you about how we actually make use of subtotals. So, Paul, my friend, the floor is yours. Thank you, Aaron. Let me see if Zoom will cooperate with me today on sharing screen. But this one and couldn't I get a quick thumbs up if it's sharing correctly? Yep. We can see it. Awesome. Alright. So, we're going to do a quick little where we were, where we are kind situation. When we first started with proposals, this this was our only option. It was the concise bid proposal, and it was just to have something to be able to turn in. So we have the project up at the top, we have a basic pay item table, and we had a total, and that's all that there was. And we wanted to increase the amount of customization that you had because we got a lot of different customization examples, and thank you everybody that sent over different proposal examples so we could see what those real world examples looked like, and we put a lot of work into making it as easy as possible. So let's look over into libraries, and if we go in those libraries, over on the side here under proposal templates, this is a new option. Still have the Concise Bid Proposal, but under that, we have the ability to create new templates. So up in the top right, I have the ability to create a new template, give it a name, and jump in. So we'll just use a regular example here and create, and it's going to bring us to this screen. Over on this right hand side, we have several different options. We have the estimate fields, library fields, and project fields, and within each of these, I'm able to drag and drop. So, for example, in here, I know I'm going to want my pay item table, so I'm going to click and hold, drag and drop, and I now have my pay item table. Going with what Aaron just said, we actually have customization options on everything that gets dropped in. So if I left click on here to select my pay item table and go to this little styling icon, I can show subtotals, or if I don't want to show them, I can hide subtotals. We also introduced the option to hide extended price and hide unit price, so if I just want the pay item description quantity in unit, I can do that. If I want to show the extended price but not the unit price, I can do that. A few people are saying they can't see your screen, I could see your screen, but can you drop in the chat whoever's on the webinar if you can't see Paul's screen? Let me try resizing it and see if that helps any. If you cannot see it, let us know. I see Aaron Allshouse's screen. Okay. Everyone's seeing Aarons. Aaron, can you make sure you stop sharing? Think you might need to reshare, but I canceled my sharing. Okay. Let me try sharing one more time. Thank you guys for calling that out. There seems there was two tabs in Zoom, and one was Aaron's and then one was Paul's. Yeah. It was interesting. New feature Zoom, I guess, introduced. Alright. The people that previously could not see my screen, are you able to now? Awesome. Alright. Let me go ahead and hop back then and re show you so you can at least see what we were looking at. So previously, we just had this concise bid proposal. However, now in libraries, you can create your own templates. So up in, in libraries, under proposal templates, if we click create template and give it a name, On this right hand side, we have several new options, so we have project fields, library fields, and estimate fields. And for instance, I know I want a pay item table, I'm going to drag and drop that in. And we were talking about the customization options, so if I click on this pay item table and then click on this little paintbrush, the styling icon, I have customization options for this. So I can show those subtotals that Aaron was just talking about, I can hide my extended price, I can hide my unit price, whatever combination of these that I want that makes sense for it. And we are going to be adding more configuration options to this. We know that the pay item table is something that's going to have a lot of different customization options, So this this list will continue to grow beyond just these three. I also have other options for font size, color, padding, etcetera, and we'll see those in just a second. But what I actually wanna do is go back and look at one that I've pre prepared here. So what we've done I have a few quick questions. Yeah. What's up? So someone wants to know about the nested subtotals, etcetera. Subtotals of subtotals, that can get convoluted. Is that something we've thought about? Yes. Right now, subtotals of subtotals is not currently supported. That will be coming in a future release. Right now, you can only subtotal existing items within the estimate. You cannot subtotal a subtotal itself just yet. Great, awesome. Another customer is asking, what would be the reasons for using web version in lieu of desktop version if both are available when it comes to proposals? Yeah, I'll take a stab at that one. So the short and sweet is if you were a HeavyBid desktop user right now, HeavyBid web is not necessarily for you. If you are currently not using HeavyBid desktop, HeavyBid web is a potential solution if you are a smaller contractor. Right now we are targeting what would be the equivalency of HeavyBid basic in desktop. If you are an advanced or comprehensive user and you make use of some of those functions, we do not have the equivalent to that in web currently. Later on in the year, we're gonna be looking at building a pipeline that will allow you to much more easily transfer your desktop library or desktop code book and setups into the web, allowing you to potentially run-in what we will determine like a hybrid state where you're using both the desktop and the web version to to work on some smaller projects if you choose to. Aaron? All right. That's all the questions for now. All right. Inside the prepared example here, I've added in a logo. So this is under libraries. You can add in any we have it marked as company logo, but this can be any picture that you upload. If it is larger than what we allow, it will get scaled down to fit automatically. We do also have customization options on this. This is going to expand quite a bit as well. But, for instance, if I want this centered, I can add left padding. So if I had, like, two seventy five ish, that puts it in the center. If I want it left aligned, that's where it is by default, so that's fine. I've added in a project name, the estimate code, and description. I've added in free text here, so I am able to type in anything that I want. One thing to keep in mind, because this is a template, this will be used across all of the different estimates that I'm creating for, so this is not customizable at the time that I am generating the template. This is customizable within the template. Meaning, if I use these the template called demo example for my first estimate, it will say project intro. Thank you for considering our project blah blah blah. If I use it for estimate two, it will say project intro, thank you for considering our project blah blah blah. It will be the exact same free text for each of the proposals that I generate with this template. But if you have something that you use on all of your public work, for instance, a little disclaimer at the top or the bottom, this would be a great place to put that in. If you have a separate disclaimer that you use for private work, you would create a new template with that disclaimer. So that's one thing to consider, and you will see that in the live preview, which we'll get to in just a second. I've added in a couple of other assorted fields on here, and then down at the bottom, I've put in inclusions and exclusions. With the exception of the picture and this free text field, everything here gives an example just to show you what it will look like, the rough amount of room that it will likely take up. The picture and the text, show the actual ones on there. So looking at these inclusions and exclusions, what's included in there? Over on this left hand side, under proposals, if I go to inclusions and exclusions, we will discard these changes real quick, we can see I'm able to create new sets of inclusions and exclusions. And within those, I'm able to edit them and choose whatever I want. So here, I have just bolded text up at the top, and then I've created a list down at the bottom that is just various bullet lists. However, I can also change this. Let me go here. If I click add, I can put in a numbered list. So number one, number two, and so on. And I can also create other things. So if I want a heading underneath that, we can see there's a preformatted heading. And then within these, I can use basic, bold, italicize, and underline. Whatever I want to include here, I can do so. I'll go ahead and save this so we can see what that looks like, and I can create whatever lists I want here. And this is important because when I go over to my estimates and I'm creating a new estimate, it gives me the option down at the bottom saying what set of inclusions and exclusions do you want to include. So I can say, in this case, the only ones that I have, looking at my library here, I have one set of default inclusions, one set of exclusions, but I could have different sets for different types of work. So here, I would say I want to include this, I want to include this, and create my, estimate. Any questions before I jump over to the estimate to show what this looks like for further customization? Any questions on proposal templates or inclusions and exclusions? I'm not seeing anything. Alright. Under the, or sorry, inside the estimate itself, under setup, this works very similar for anybody who is familiar with desktop. It works very similar to system versus local. Because I set these as my default, it copied over my inclusions that I told it to, right here. It copied those over into the setup inside the estimate itself. Now just because I set them up in my libraries does not mean that this is exactly what it's going to be on every single estimate that I create that for. So these are kind of the template ones. This is what I expect by default when I go into my estimate, but I know in this particular estimate that my exclusions are actually slightly different. So I have one extra one here, one extra one here if I can type and talk at the same time. So even though I brought that in from my library, I know any customizations that I wanna make, can do inside my setup here, and this is what the template is actually going to use at the end of the day. When I'm generating my proposal for this estimate, it's going to use what is inside my setup. So here we have a very basic estimate. We only have three pay items in here. I've put in my inclusions and my exclusions, and inside my pay items, I'm actually gonna add in a subtotal one. Pay items one and two, and we're going to include one and two just like we saw Aaron do a minute ago, and we're going to move this up to the top. And now we're good to go. So I have my pay items. I have everything set up with my inclusions and my exclusions. I have, subtotals that I'm ready for. I'm going to go to my proposals. Over on this right hand side, we can see all the different templates that I have. So the concise bid proposal is what we had before. The demo example is what we just created. So now we can see I have my logo up at the top because inside my library in my proposal template, that is what I created. And we can actually see this update live. So if I'm looking at this and I go, oh, something doesn't look right here, I can go over to my libraries in another tab. I can go here and style and say, I want this centered. So I'm putting this at 275. I'm gonna save this. And when I go back over here, give it just a second to update, and we can see it update live. So I can even sort of play with it with the real world data that I have for this particular estimate if I see something that I don't quite like. So now I can see I have my centered logo up at the top. I have my information. Here's my free text that I have, my owner, job site point of contact. I have my subtotals that are showing on my proposal, and if those need to change I can go into setup real quick and adjust the order on that. I can look at my inclusions and exclusions, and, again, we added on that one extra one here under my setup for this particular estimate, but this can be whatever I want it to be. And then up at the top, whenever I'm ready, I can generate my proposal, with the same options that I had before here, and I'm ready to, to save the PDF for this and send it off to whoever it needs to be sent off to. So we have a much more customizable, setup here for you. You can create whatever templates you need for different types of work. If you have a particular project owner that has very specific and strict requirements on what that proposal looks like, you can create a template just for them, and we are going to continue to increase the number of customization options on here based on all the different examples that we've been given from you guys.
