All right. Well, thank you everyone for joining today for our Before the Bid webinar series, which our goal here is to show you the benefits of connecting HeavyBid to HeavyBid Preconstruction. So this is our first of three webinars that we will have where we'll dive into the most important features you should be using today in pre construction and showing you how this helps you during your estimating process. So definitely check those out. They're very easy, one minute, quick videos. And the second thing in there is just a recap of this webinar. So there's a handout you can download and print later on to refresh your memory on what we talked about. Alright and so, before we kick things off, we'll just start with some introductions. My name is Melissa Teague and I'm the product marketing manager for our estimating products. So, HeavyBid and HeavyBid Preconstruction. And basically I work closely with the product team, customers and you guys to help shape the messaging and develop resources to help you get the most out of our software. And I will kick it over to Amanda. Hello, everyone. Good afternoon. My name is Amanda Ayles, and I'm the group product manager for HeavyBid at HCSS. You've probably heard me talking about precon a few times over the years, and we're still hitting hard on this conversation for this year in particular because of how it lines up with the big picture view of HeavyBid. So I'm excited to dive into this with you today. Thanks Amanda. And so today the agenda we're going to be talking about what is HeavyBid Preconstruction again. So if you don't know what it is or you just need a refresher, we'll go into that a little bit. We'll talk about what happens when you connect the two products. So what's the real benefits there, giving you a deep dive there. How you can use historical estimate data from HeavyBid that's really gonna help streamline your estimated workflows and the key benefits of connecting pre construction to HeavyBid. And of course, we'll do a Q and A. But ask questions as we're going along. We will answer right there on the spot. Kick it over to Amanda. Okay so again hello everyone what is HeavyBid Preconstruction? We launched precon back in twenty nineteen to be a web based tool for project tracking and estimate management. We were in a spot where HeavyBid was a, is a powerhouse for building out cost estimates. But when it comes to looking across estimates, estimate management was something that we could definitely stay have stood to invest in and improve in y'all's experience. And so we did. We launched precon as a way to manage that incoming part of the workflow and then the after the estimating part of the workflow. So by connecting HeavyBid Preconstruction and HeavyBid, you're actually gonna be able to streamline that whole workflow together into one place. Bid management, cost estimating, analysis. And then finally, course, your proposals to your owners. So a big thing about how we launched Precon two is that we wanted to make it really accessible for all of y'all. So this tool is free for all HCSS customers. Again, you can turn it on today. A lot of what we'll be going through is the pieces that you get as part of the system, and I'll be clear about what kind of is in that free space versus, the upgrade in precon, where if you would like to use it for your bid management, solution, then you're gonna wanna unlock it to have a full amount of customization. Because I've been talking with y'all and no two of y'all do things the same way. Alright so again looking at this in a different way pre con is for project tracking, calendar organization, contact management, and then looking at insights. So comparing an estimate that I'm in against my historical estimates, or in general we've seen a lot how people use this part of the system for those users in your company who don't necessarily need to be able to get into HeavyBid to build an estimate. They just like seeing some data. They like answering questions for themselves. We've seen precon be the path for giving people access to that data so they can self serve without taking one of your HeavyBid seats. And then of course HeavyBid is our system for estimate setup at costing, price, review, and submission. Reemphasizing for all of y'all why this matters. The new HeavyBid platform, which you may or may not have heard us talk about a little bit since the beginning of the year, the new twenty twenty six HeavyBid web based platform is going to require a project first workflow. So why did we do that? A, it's estimate information. So in the exact same way that when you start a bid today, you start by putting in a little bit of a project information in the estimate info screen. This new workflow is that same concept just with more flexibility for you in how you do that project management. And then B, a big reason we're investing in that from our side of things is we have been talking to all of y'all for years now on how invested we are in really providing a project life cycle view into what's going on in your company. In order for us to meet that dream, meet that desire that you can track a project from cradle to grave in the HCSS system, then we need that project early on in the pre construction process. With the idea of what's coming for HeavyBid in the future, one of the big things that is top of mind for us is change management. How much new stuff there is to always have to worry about on top of your regular job. And so we want to make sure that you understand you can get started on this now. You don't have to be overwhelmed by it whenever it's time to look into this further. Pre con is something that is accessible to you now. You can learn about it now, you can start practicing the workflow now instead of trying to cram it all together into one spot because we know you don't have time for that. Again, we mention it's free? There are workflows in this that you can do today already as an HCSS customer and as a HeavyBid customer. And overall just keeping in mind know, y'all love your equation so here's a nice loose equation for you. Pre construction plus HeavyBid is the future of estimating workflow at HCSS. So it's important for you all to for us to provide you as much information as we can about it now so that you can get ready. Alright. So let's go into some details about this. What happens when you connect the two systems? First we're gonna start by looking at the part of the workflow where as we said before you start in precon with your project tracking or bid management. We use those two terms interchangeably so that as you handle it in your company, ideally one of those will mean something to you. Some of y'all view this precon space as a project tracking business development space, and some of y'all just view it as bid management. Both of those are true. That is what precon is for. Regardless of how you're handling your workflow, bid management ends up leading into cost estimating. So the way that that works to connect these two systems today is in precon when you're doing your project management, your project tracking is how we named it. For those of y'all who are HeavyBid heavy job customers, we didn't want to confuse with that project management module over there. So we're project tracking for right now. When you're in that space and you're doing your project tracking fields, we've designed how you can map that over to HeavyBid. So I'm gonna now take this opportunity to move from just the slides to actually looking at the software so that we can really go into detail about the piece that I'm talking about here. So I'm gonna move over into precon where I've got my projects list set up in front of me. This projects list in case you're looking at what I've got going on here is a template that I've set up that is mostly that is organizing my work for me by year. So I'm looking at upcoming jobs, I just did a big text dot dump so I got tons of work all the way up to two thousand thirty five. I then am looking at it by project status and then by type of work. So all of this is stuff that I've organized for myself on how I want to see my projects. The first part of understanding how Precon talks to HeavyBid is understanding how this data flows into HeavyBid when I start a new estimate from here. And that is controlled through the customized setup screen and HeavyBid integration. So ideally that's pretty straightforward name as far as this is where you go to manage how precon talks to HeavyBid. By default, whenever you start the system, we anticipate that I think neither is the system of truth. When we are saying that, what we mean is precon is running and it is a place where I'm doing data entry and management. And then heavy bit is running and it's a place where I'm doing data entry and management. And I want project data to flow down but after that we're not worried about trying to stay in sync. This is we introduced this mode to be as minimally disruptive as possible in your current workflows with the idea that you would then progress to picking a system of truth. So from that, what that looks like is in project tracking, if project tracking is your system of truth and a bid date changes, you would want to change that up here in precon so that the bid date will change in the estimate. On the flip side, if your estimators are primarily in HeavyBid all day and that's where they're going to be updating data, If a bid date changes, you would want to change that in HeavyBid, and that information would come back. So in mapping fields to HeavyBid, we've got a default mapping in place that will happen when you first turn on the system. And this is a component that is actually already locked in for you if you're on the free version of the product. So this is more for your information but if you're interested in signing up for the free version of precon you don't have to worry about mapping anything. We've already taken care of all of that for you and will ensure that the data between your precon projects and your HeavyBid estimates are moving over as expected into the estimate information screen. Comparing the two side by side, what this screen is telling me is that the project tracking field, in this case project name, will fall into the estimate name and project name fields in estimate information if I start a new estimate from this project. Let's look at the estimate information screen So that we can really understand what it is I am saying there. So I'm in an estimate and then I'm gonna move into estimate information and I'm looking at the estimate name and the project name will be fed from my oh, I sorry, my apologies. I did not share my whole screen. You cannot actually see my heavy bit. So let me fix that real fast. You want this one. I caught that on my own. Okay. I'm a Zoom master. Okay. So again, what I was pointing out here is I am looking at how project tracking is gonna feed HeavyBid. The project name from a project is gonna feed into the estimate name, which is this field, and the project name, which is this field in estimate information. Moving down the line on that, that means my project number from the project tracking space is gonna feed into the project number field inside of HeavyBid. And one more for us, status will feed into status. So overall, the first step in understanding how these two systems talk to each other is that precon is designed to send project information down to HeavyBid when you start an estimate. And that mapping is controlled in the HeavyBid integration screen under customize setup. Pausing for a moment in case there's any questions that we wanna send in. So then moving into the next piece of this. There is an interesting reality too about how the data needs to line up between precon and HeavyBid, especially when it comes to HeavyBids drop down fields. So in HeavyBid, we just talked about status. I have a status here. List of these items. This is how I may put a status on my estimate while it's in HeavyBid. And you'll notice we have a code and a description field in here. One of the other parts of lining up precon to talk to HeavyBid well is just making sure that these status fields are gonna work as expected. Especially making sure that your online users are using statuses that your HeavyBid users are used to. What we've seen be true is that it's a pretty normal workflow to have an estimating admin, junior estimator, somebody who's in charge of putting in the data online on precon that will then eventually flow in for the estimators when they start their estimate. So what that looks like is in our project tracking customized view, whenever you're setting up a drop down list, you'll want to align the desktop codes to one of your options in your drop down list. So again, I'm gonna go into precon, and I'm gonna show those two things side by side. So starting again from the main view, I'm gonna go into customize setup. And in this view, this is how I have the ability to customize, add new project fields to my project tracking process. One of those fields is a selection list, a drop down list. In that drop down list, when people are working online, they're gonna see these options in the drop down list. Prospective work, change order, estimating submitted, so on and so forth. One of the first and typical questions I get at this point when I'm showing this part is can I change what options are here? And the answer is yes. Yes. You can. You can change all of this as part of customizing the system to work for you. That's in the free version, and, of course, in the paid version. You can customize this list. And then what I've done is I've mapped how the selection in this list needs to go over to the desktop. So again, pulling up HeavyBid Should've left my open my estimate information screen open so we can see all of these status options. Move that so we can be side by side. Need to align award award CO change order estimating EST for estimating. Those codes in HeavyBid are lined up with how it'll actually be selected inside of the HeavyBid system. So that is one little piece about the precon to HeavyBid data mapping that is easy to overlook because of these tricky little selection lists. In this estimate or in this customized projects screen, piece that we're giving you as well to make sure you understand how a particular field may be mapped to HeavyBid is the HeavyBid emblem on that field where we will tell you how that field is mapped over to HeavyBid. This was important to us for admin style users in precon who might come through and think, oh, we don't need that field. I'll just delete it. This is a reporting space that helps you see, well, I don't know. Maybe I should check on that because this field's mapping to HeavyBid and sending down data. I wanna make sure that I understand what this field is being used for. In this space, we have limited in the free version of precon how many custom fields you can add to the project details. However, if you upgrade to precon, the full version of precon, now you have the unlimited control of how you're adding fields into your project tracking space. So one example of that, those fields that I've added is a currency field that'll give me a place to write in my green sheet estimate, and then a calculated field that'll give me a quick ratio of how the owner's estimate relates to my green sheet estimate. These are just some minor examples of the type of fields you can work with in customizing project tracking to meet the kind of information that your company is looking for whenever you're doing your bid management. What we've seen is sometimes these fields end up leading to data that you do want to drop into your estimate. So all of the user defined fields in estimate information are also places that I can drop data coming from precon up to HeavyBid. What that looks like for me, which I haven't defined any of my user defined fields, but if I had put in my custom labels here, I can see I would be able to see that up in precon. And back in our HeavyBid integration screen, those fields are the types of things that I can drop into. I can drop into my tags as well as my user defined fields that will accept the kind of data that I'm trying to map. So in the case of my owner's estimate or green sheet estimate, both of those are gonna be currency or monetary inputs. I can only drop those into places that are gonna take numbers. Alright. Pausing again for just a second to see if we have any thoughts or questions about this. Please feel free to provide questions or you know how much we love our user feedback. You can also just send in any, again, just opinions, thoughts, or needs, in that q and a space, and we're happy to take a look at that as well. Okay. We have a question. You saw that? Okay. Yes. Yeah. Okay. So I have my owner's name listed as a contact in pre con, and I'd like to map that owner into HeavyBid, but don't see that as an option. Got it. So our contact fields. Like, I have my owner here as well are an item that I would like to drop in. Yep. Makes sense. Are there any user or job number limitations in the free version? There are no user or job number limitations. You can have as many users in the free version, and you can be managing as many different projects as you want in the free version. What is limited there is this mapping. We've locked it in for you on how precon is gonna talk to HeavyBid. And then obviously upgrading where you'll be able to add custom fields is where you'll also be able to then customize this integration. We have another one from Dave. He wants to know what is the final list view of ongoing projects? So the final list view of ongoing projects is gonna be the main page inside of Precon, which is this projects list view. In this place, I can organize what data I want to see by choosing how I wanna show hide columns from all of that data in my project. We've also got a lot of HeavyBid data sitting in here. So this is a primary benefit to having your systems connected is being able to see some into some of your HeavyBid data as well easily. And then with how I'm showing or hiding columns on this view, I can also control how I'm filtering data out and then I eventually save that as a template. We have another question. It is we are currently using Salesforce to track our opportunities. Can Salesforce be linked to preconstruction? We are currently mostly seeing customers do that through their own integrations, but we are hungry to work on one of those integrations with y'all. So please reach out to us so that we can talk deeper about how you would like to do your Salesforce to precon integration because the overall expectation is that if your company is already currently using a CRM or ERP system to do this project tracking, we would want to see an easy data flow into dropping that data here so that it can be used for your estimating process. And then Christian, just jumping into your next question real fast. Are you allowed to export the project list to an Excel spreadsheet? I can dump it out to a CSV, PDF, that kind of stuff. Janelle, going into a question we have here around the future of estimate creation will flow from precon to HeavyBid and will not be available to start an estimate in HeavyBid. So with the HeavyBid desktop system, you will always be able to start an estimate here in HeavyBid. When we're talking about the new version of HeavyBid, we're talking about as we're in the grand scheme of things, not in the near term, but in the long term. Planning for how HeavyBid moves online, our workflow online is going to be that you start an estimate from one of these projects. Okay? So no, we are not locking out your ability to start an estimate in HeavyBid. Okay. We have a few more questions. Will the preconstruction be limited to only Texas DOT related jobs, or can this only be used for city county projects? Gotcha. No this data that's in here is because I'm a Texas girl so I'm most familiar with going and pulling the TxDOT project information. It is not limited to TxDOT projects. I put this information in here myself by doing a project import. And Chris wants to know can user permissions be set up to limit what users are able to see in the project list? In the project list, the best way to drive that at this point, so user permissioning is a component of the paid version of precon. So let me be clear about that first. And then second, one of the I think one of the ways that you would aim to do that is controlling what your public project lists are for your users. But I would want I I would need to dive into that further, and I'm really interested in that feedback. So we'll take that down and look at how or reach back out and see what kind of use cases you've got where you're limiting that data access. Alright. We have one more question. What ERP is better to integrate heavy bed? I don't know that I've, worked with them enough yet to say which one is better. We have seen seen a few of the standard more enterprise systems at this point be integrated. So I'm thinking of JD Edwards. I'm thinking of CMIC those types of systems are the type of ERPs that we've seen integrating so far. Okay. So overall, what we've been looking at is the movement of data. Yes. Got it. Absolutely. And that thank you for that clarification, Chris. So again, what we're looking for in that limitation is keeping junior estimators from having access to the bid information. That is absolutely a permission that we have in place where you can build out your you can build out your reports, how you want to see them. But in the big picture of precon, I can then go in this aligns with some of our other stuff. Sorry. I'm in the wrong spot. I can then go in and control who has access to see estimate information or not. Okay. So that is something that we have today. Okay, so going back in then again we were focused here on that first pass of data where precon is gonna control data that can flow into my estimate. The goal there is really some of the workflows I've seen where your estimators are having to manually move project information from spreadsheets or other systems over into the estimate information screen when they start a new estimate. So now the workflow that we hope to see or that we're looking to support y'all with is I can go into HeavyBid. I can hit new and then new estimate from project tracking. And with that, I can see the projects that are up in my project tracking system, and I can control then what what I'm bringing in. Let me do some quick filtering. Look at my projects up in the project tracking system and decide on one to bring in. So you'll still have to give that an estimate code to align with your coding structure. We'll have an incoming update to feed this code from the precon space. I'm just gonna call this webinar. Have that. And then from here though, you see the estimate name was already populated. If I had tag mapping, those tags would already be populated. I've seen that one be an important piece of the workflow that's actually being reinforced by this integration because tagging is a required part of starting out the estimate. And then I, of course, pick out which of my estimates is my master. So past that, you're just working in the new estimate setup flow. So, Ray, your question on assigning an estimate number in precon. So we have seen people take on the workflow where they are using this precon ID as their estimate number. And that is why one of my pushes is that this estimate number needs or this project ID needs to become the estimate number when we do that process. Right now, it would be a, hey. Make this number line up as far as your estimate code is concerned. Can the source estimate be defined in precon? Not Not at this point, but that is a very interesting workflow question that I would love to know more about. And then questions here. Ahead. Are you able to interlink HCSS along with MS Project? So, in that case the HeavyBid Desktop System is our primary system that has a integration with MS Project in order to send your estimate data over to scheduling and or back again. So that's gonna happen more specifically with the HeavyBid system. Can you tie multiple estimate numbers to a project? Say if there were different versions or clones. You can tie multiple estimate numbers to a project. So what we'll actually look at is taking this not great estimate because we don't want a negative markup from last year and updating it to one for this year. We have our question. Under permissions, we have four columns and project tracking, contact management, administrator, and estimate insights. Which permissions are part of free versus paid version? Yeah so in the free version of precon all users are viewed as admin. So you cannot control the fine tuning of who has access to what data, but what you can control is who has access to pre con to begin with through your credentials management. In the paid version, that is when you get to see the four that you're talking about there, Bob, which is your who who's allowed to do what in project tracking, who's allowed to do what in contacts, who's a full admin of the system and therefore can help set up this customized setup space inside of project tracking, and who can see estimate information. Great question. Finishing out. Yes. They do. Okay. So we got a question in the q and a asking what happens if you show totals. So this is a fun one. Let's go back here. Let's find us an example where I might have multiple. I think I cleaned up all of mine because they were silly, but it's alright. Let's make a silly one. So I have this estimate right here where I have one earth tied to the estimate. In here, I I'm seeing which of my HeavyBid estimates is tied to this project. If I have multiple estimates tied to this project, which I'm gonna add one earth and one pave to this project, and I have show totals on both, what's gonna end up happening is that these items now total together in my project reporting. So we do support the idea that you might have multiple estimates because you've split up scopes or you might have multiple estimates because you're doing versioning. And with that, you can keep the record of the old version here, but only the one that's supposed to count towards totals will be the one that counts towards totals. Okay. A little off track there, so I'm gonna bring us back into the story as far as precon talking to HeavyBid and getting started with a project real fast. I am gonna do a new estimate from project tracking. I am gonna grab the same piece that I was looking at, which is my I believe this guy. I'm gonna update his estimate code. So this is where you're gonna see the part that I don't like about this, but that's okay. We are we're all friends here, which is I'm gonna grab my code and drop it in. And then ah, I went to copy. Well, we got estimates now. Okay. So I've now got a second estimate here, but what I very specifically didn't do yet is set up the other direction of data flow. I wanted to do that with y'all. So I've gotten my project started, my data flowed in from the from the project tracking system for bid date, project name, code, estimate name, project codes, and then over an optional information, I've got some of my other dates and whatnot flowing in. So going back now into our storytelling on that, what we now also want set up is that your HeavyBid data is gonna flow back to that projects list because, again, our goal there is to take away the double entry of your estimators needing to move estimate numbers from the HeavyBid system back into a spreadsheet so that you can see overall how your bids are doing in a bid review process, like a weekly bid review process. So in this case we're talking about HeavyBid data flowing back to precon to provide estimate insights. In that space, there are a couple of steps for those of y'all who have been customers for a good long while. One of the first steps includes going into credentials and turning on the opportunity to use estimate history. So this feature is called estimate history, and it is that's the primary feature that we're talking about every time we talk about HeavyBid sharing data back to precon. So in my credentials company, I can turn on the ability to allow estimate history. Again, if you're a you're a long time customer, this is a step that may be important for you to do. If you are a relatively recent customer, we've already taken care of this part for you. You'll know if it's done or not by HeavyBid. HeavyBid will tell you. After that step sorry. Let me go back to here one more time. After that step, HeavyBid is where you'll want to set up your okay for sharing data in estimate history. And so in that, I'm gonna go to tools, preferences, and I'm going to a system preference to say okay with this feature. So you'll notice within the system we'll do the check for you on credentials and make sure that that part's done. If you've got a little green check mark here, that means that's estimate history in HeavyBid. So I'm doing that part with y'all. I just turned that on. From there, another setup that is really handy to do is user setup so that I don't have to type in my credentials, username, and password a lot. So in my case, I'm the only one using this system most of the time. So I did put my information into the system credentials. But if you've got multiple users in a multi user system, you would want them to go into the user setup and put their credentials information in here. Primarily this is just to help enable still that kind of like user awareness of who should be allowed to do what. As a system admin, I may be an admin in precon and I'm allowed to do more or affect more than another user is able to. This lining up to the correct like user permissions you're intending is part of why we have these two setups available. You can have the user set up their connection through their own credentials. With that in place, that's what allows me to then interact with estimate history to do two different things. I can archive data or I can sync data. So in HeavyBid, under the file menu, I have two options for estimate history. I can archive data or I can sync data. In the archive menu, what that lets me do is that lets me Notice not just anybody can archive data because what this lets me do is take estimates from my local system and take them off of my local system. I'm gonna send them up to estimate history so that they are archived, so that they are cleaned up from my local system but still available to me to copy from, to look at data in precon. I still have access to that data and information, but they're not going to show up in my local open estimate list anymore. So again the purpose of this is to support the standard reasons that you archive estimates. Which is I don't need to have my local system muddled with estimates from two years ago, three years ago. I may choose to take all of those and archive them. The benefits of archiving with HCSS are that this is something that is not an extra charge in any way shape or form. So that is a benefit to you as far as space is concerned, storage space. In that archive, I can still access that data as an estimator if I need a copy from something that's in the archive or if I wanna go look at that estimate online, I can still go do that. But I've now cleaned up my open estimate screen. Okay. Alright. And then outside of archiving, last bit here is syncing. So this again is my local estimates list, and I can choose sorry, in the sync estimates, this again is my local estimates list, and I can choose to copy an estimate up to the web. That keeps it on my local system and puts a copy online, And that's what allows that estimate reporting online. By default, our standard recommendation for companies who are getting started with this whole workflow and want to maintain data between the two systems is that you would, in your master estimates that you currently work with, set an estimate preference. So I'm under tools, preferences, estimate. Under the bid summary and pricing preference, I've got the ability to select an option that will automatically sync the estimate with estimate history every time I run bid summary and spread. This means that your estimators never have to worry or rarely have to worry. How about that? We won't use that word. But rarely have to worry about whether or not the most up to date data is online. This is just gonna happen as a native part of using the system and running bid summary and spread that a copy of the estimate is gonna go online. Again, I'm not in a master estimate right now, so this is only going to take effect for the specific estimate that I'm in. That is why we recommend doing that in your master so that as you copy from that estimate over and over and over again, that preference is already selected. In the end, what that ends up looking like is data is able to flow back to precon, and that is what's providing me this information. My bid total coming out of HeavyBid, the terrible markup on that particular project, and other pieces that's actually a different part of the system. So these two items are fields that are coming from HeavyBid. But as you can see here in our show hide columns under the HeavyBid estimate section, we've got a ton of data points coming from the estimate that can be added to your project tracking reporting. Okay so this is actually where we're gonna pick up during the next webinar where we're gonna actually go deeper into this idea of syncing and archiving your estimates and what you get out of that back in the pre con space. So my goal for today was just to tease that. I'm sure there are tons of questions about that, but overall, the reason that we connect into estimate history is so that we can access historical cost data, historical price data, and look at our patterns. Again, goal here is that we're helping move that workflow into a more clear line of actions that you can bid faster by having more ready access to this data and have better transparency with your stakeholders in that project's dashboard. As Melissa said, all of this information is available for you on the HCSS Academy where we've got that more step by step on how to set up. Again, reiterating what we're encouraging here is that the future workflow when I'm estimating online is that when I start from my project, I'll be able to just hit start estimate and continue from there. So we are preparing people that that is gonna be the workflow. You can get started in that workflow today, but no we are not forcing anybody in desktop into that workflow. Alrighty. We care about y'all. We wanna make sure that this goes well. HeavyBid's gonna be around for a long, long time. So we're in it with y'all on this whole change management process as technology keeps coming for us all. I hope y'all have a good day. All right. So this is our first of three webinars that we will have where we'll dive into the most important features you should be using today in pre construction and showing you how this helps you during your estimating process. So there's a handout you can download and print later on to refresh your memory on what we talked about. Alright and so, before we kick things off, we'll just start with some introductions. My name is Melissa Teague and I'm the product marketing manager for our estimating products. So, HeavyBid and HeavyBid Preconstruction. And basically I work closely with the product team, customers and you guys to help shape the messaging and develop resources to help you get the most out of our software. And I will kick it over to Amanda. Hello, everyone. Good afternoon. My name is Amanda Ayles, and I'm the group product manager for HeavyBid at HCSS. You've probably heard me talking about precon a few times over the years, and we're still hitting hard on this conversation for this year in particular because of how it lines up with the big picture view of HeavyBid. So I'm excited to dive into this with you today. Thanks Amanda. And so today the agenda we're going to be talking about what is HeavyBid Preconstruction again. So if you don't know what it is or you just need a refresher, we'll go into that a little bit. We'll talk about what happens when you connect the two products. So what's the real benefits there, giving you a deep dive there. How you can use historical estimate data from HeavyBid that's really gonna help streamline your estimated workflows and the key benefits of connecting pre construction to HeavyBid. And of course, we'll do a Q and A. But ask questions as we're going along. We will answer right there on the spot. Kick it over to Amanda. Okay so again hello everyone what is HeavyBid Preconstruction? We launched precon back in twenty nineteen to be a web based tool for project tracking and estimate management. We were in a spot where HeavyBid was a, is a powerhouse for building out cost estimates. But when it comes to looking across estimates, estimate management was something that we could definitely stay have stood to invest in and improve in y'all's experience. And so we did. We launched precon as a way to manage that incoming part of the workflow and then the after the estimating part of the workflow. So by connecting HeavyBid Preconstruction and HeavyBid, you're actually gonna be able to streamline that whole workflow together into one place. Bid management, cost estimating, analysis. And then finally, course, your proposals to your owners. So a big thing about how we launched Precon two is that we wanted to make it really accessible for all of y'all. So this tool is free for all HCSS customers. Again, you can turn it on today. A lot of what we'll be going through is the pieces that you get as part of the system, and I'll be clear about what kind of is in that free space versus, the upgrade in precon, where if you would like to use it for your bid management, solution, then you're gonna wanna unlock it to have a full amount of customization. Because I've been talking with y'all and no two of y'all do things the same way. Alright so again looking at this in a different way pre con is for project tracking, calendar organization, contact management, and then looking at insights. So comparing an estimate that I'm in against my historical estimates, or in general we've seen a lot how people use this part of the system for those users in your company who don't necessarily need to be able to get into HeavyBid to build an estimate. They just like seeing some data. They like answering questions for themselves. We've seen precon be the path for giving people access to that data so they can self serve without taking one of your HeavyBid seats. And then of course HeavyBid is our system for estimate setup at costing, price, review, and submission. Reemphasizing for all of y'all why this matters. The new HeavyBid platform, which you may or may not have heard us talk about a little bit since the beginning of the year, the new twenty twenty six HeavyBid web based platform is going to require a project first workflow. So why did we do that? A, it's estimate information. So in the exact same way that when you start a bid today, you start by putting in a little bit of a project information in the estimate info screen. This new workflow is that same concept just with more flexibility for you in how you do that project management. And then B, a big reason we're investing in that from our side of things is we have been talking to all of y'all for years now on how invested we are in really providing a project life cycle view into what's going on in your company. In order for us to meet that dream, meet that desire that you can track a project from cradle to grave in the HCSS system, then we need that project early on in the pre construction process. With the idea of what's coming for HeavyBid in the future, one of the big things that is top of mind for us is change management. How much new stuff there is to always have to worry about on top of your regular job. And so we want to make sure that you understand you can get started on this now. You don't have to be overwhelmed by it whenever it's time to look into this further. Pre con is something that is accessible to you now. You can learn about it now, you can start practicing the workflow now instead of trying to cram it all together into one spot because we know you don't have time for that. Again, we mention it's free? There are workflows in this that you can do today already as an HCSS customer and as a HeavyBid customer. And overall just keeping in mind know, y'all love your equation so here's a nice loose equation for you. Pre construction plus HeavyBid is the future of estimating workflow at HCSS. So it's important for you all to for us to provide you as much information as we can about it now so that you can get ready. Alright. So let's go into some details about this. What happens when you connect the two systems? First we're gonna start by looking at the part of the workflow where as we said before you start in precon with your project tracking or bid management. We use those two terms interchangeably so that as you handle it in your company, ideally one of those will mean something to you. Some of y'all view this precon space as a project tracking business development space, and some of y'all just view it as bid management. Both of those are true. That is what precon is for. Regardless of how you're handling your workflow, bid management ends up leading into cost estimating. So the way that that works to connect these two systems today is in precon when you're doing your project management, your project tracking is how we named it. For those of y'all who are HeavyBid heavy job customers, we didn't want to confuse with that project management module over there. So we're project tracking for right now. When you're in that space and you're doing your project tracking fields, we've designed how you can map that over to HeavyBid. So I'm gonna now take this opportunity to move from just the slides to actually looking at the software so that we can really go into detail about the piece that I'm talking about here. So I'm gonna move over into precon where I've got my projects list set up in front of me. This projects list in case you're looking at what I've got going on here is a template that I've set up that is mostly that is organizing my work for me by year. So I'm looking at upcoming jobs, I just did a big text dot dump so I got tons of work all the way up to two thousand thirty five. I then am looking at it by project status and then by type of work. So all of this is stuff that I've organized for myself on how I want to see my projects. The first part of understanding how Precon talks to HeavyBid is understanding how this data flows into HeavyBid when I start a new estimate from here. And that is controlled through the customized setup screen and HeavyBid integration. So ideally that's pretty straightforward name as far as this is where you go to manage how precon talks to HeavyBid. By default, whenever you start the system, we anticipate that I think neither is the system of truth. When we are saying that, what we mean is precon is running and it is a place where I'm doing data entry and management. And then heavy bit is running and it's a place where I'm doing data entry and management. And I want project data to flow down but after that we're not worried about trying to stay in sync. This is we introduced this mode to be as minimally disruptive as possible in your current workflows with the idea that you would then progress to picking a system of truth. So from that, what that looks like is in project tracking, if project tracking is your system of truth and a bid date changes, you would want to change that up here in precon so that the bid date will change in the estimate. On the flip side, if your estimators are primarily in HeavyBid all day and that's where they're going to be updating data, If a bid date changes, you would want to change that in HeavyBid, and that information would come back. So in mapping fields to HeavyBid, we've got a default mapping in place that will happen when you first turn on the system. And this is a component that is actually already locked in for you if you're on the free version of the product. So this is more for your information but if you're interested in signing up for the free version of precon you don't have to worry about mapping anything. We've already taken care of all of that for you and will ensure that the data between your precon projects and your HeavyBid estimates are moving over as expected into the estimate information screen. Comparing the two side by side, what this screen is telling me is that the project tracking field, in this case project name, will fall into the estimate name and project name fields in estimate information if I start a new estimate from this project. Let's look at the estimate information screen So that we can really understand what it is I am saying there. So I'm in an estimate and then I'm gonna move into estimate information and I'm looking at the estimate name and the project name will be fed from my oh, I sorry, my apologies. I did not share my whole screen. You cannot actually see my heavy bit. So let me fix that real fast. You want this one. I caught that on my own. Okay. I'm a Zoom master. Okay. So again, what I was pointing out here is I am looking at how project tracking is gonna feed HeavyBid. The project name from a project is gonna feed into the estimate name, which is this field, and the project name, which is this field in estimate information. Moving down the line on that, that means my project number from the project tracking space is gonna feed into the project number field inside of HeavyBid. And one more for us, status will feed into status. So overall, the first step in understanding how these two systems talk to each other is that precon is designed to send project information down to HeavyBid when you start an estimate. And that mapping is controlled in the HeavyBid integration screen under customize setup. Pausing for a moment in case there's any questions that we wanna send in. So then moving into the next piece of this. There is an interesting reality too about how the data needs to line up between precon and HeavyBid, especially when it comes to HeavyBids drop down fields. So in HeavyBid, we just talked about status. I have a status here. List of these items. This is how I may put a status on my estimate while it's in HeavyBid. And you'll notice we have a code and a description field in here. One of the other parts of lining up precon to talk to HeavyBid well is just making sure that these status fields are gonna work as expected. Especially making sure that your online users are using statuses that your HeavyBid users are used to. What we've seen be true is that it's a pretty normal workflow to have an estimating admin, junior estimator, somebody who's in charge of putting in the data online on precon that will then eventually flow in for the estimators when they start their estimate. So what that looks like is in our project tracking customized view, whenever you're setting up a drop down list, you'll want to align the desktop codes to one of your options in your drop down list. So again, I'm gonna go into precon, and I'm gonna show those two things side by side. So starting again from the main view, I'm gonna go into customize setup. And in this view, this is how I have the ability to customize, add new project fields to my project tracking process. One of those fields is a selection list, a drop down list. In that drop down list, when people are working online, they're gonna see these options in the drop down list. Prospective work, change order, estimating submitted, so on and so forth. One of the first and typical questions I get at this point when I'm showing this part is can I change what options are here? And the answer is yes. Yes. You can. You can change all of this as part of customizing the system to work for you. That's in the free version, and, of course, in the paid version. You can customize this list. And then what I've done is I've mapped how the selection in this list needs to go over to the desktop. So again, pulling up HeavyBid Should've left my open my estimate information screen open so we can see all of these status options. Move that so we can be side by side. Need to align award award CO change order estimating EST for estimating. Those codes in HeavyBid are lined up with how it'll actually be selected inside of the HeavyBid system. So that is one little piece about the precon to HeavyBid data mapping that is easy to overlook because of these tricky little selection lists. In this estimate or in this customized projects screen, piece that we're giving you as well to make sure you understand how a particular field may be mapped to HeavyBid is the HeavyBid emblem on that field where we will tell you how that field is mapped over to HeavyBid. This was important to us for admin style users in precon who might come through and think, oh, we don't need that field. I'll just delete it. This is a reporting space that helps you see, well, I don't know. Maybe I should check on that because this field's mapping to HeavyBid and sending down data. I wanna make sure that I understand what this field is being used for. In this space, we have limited in the free version of precon how many custom fields you can add to the project details. However, if you upgrade to precon, the full version of precon, now you have the unlimited control of how you're adding fields into your project tracking space. So one example of that, those fields that I've added is a currency field that'll give me a place to write in my green sheet estimate, and then a calculated field that'll give me a quick ratio of how the owner's estimate relates to my green sheet estimate. These are just some minor examples of the type of fields you can work with in customizing project tracking to meet the kind of information that your company is looking for whenever you're doing your bid management. What we've seen is sometimes these fields end up leading to data that you do want to drop into your estimate. So all of the user defined fields in estimate information are also places that I can drop data coming from precon up to HeavyBid. What that looks like for me, which I haven't defined any of my user defined fields, but if I had put in my custom labels here, I can see I would be able to see that up in precon. And back in our HeavyBid integration screen, those fields are the types of things that I can drop into. I can drop into my tags as well as my user defined fields that will accept the kind of data that I'm trying to map. So in the case of my owner's estimate or green sheet estimate, both of those are gonna be currency or monetary inputs. I can only drop those into places that are gonna take numbers. Alright. Pausing again for just a second to see if we have any thoughts or questions about this. Please feel free to provide questions or you know how much we love our user feedback. You can also just send in any, again, just opinions, thoughts, or needs, in that q and a space, and we're happy to take a look at that as well. Okay. We have a question. You saw that? Okay. Yes. Yeah. Okay. So I have my owner's name listed as a contact in pre con, and I'd like to map that owner into HeavyBid, but don't see that as an option. Got it. So our contact fields. Like, I have my owner here as well are an item that I would like to drop in. Yep. Makes sense. Are there any user or job number limitations in the free version? There are no user or job number limitations. You can have as many users in the free version, and you can be managing as many different projects as you want in the free version. What is limited there is this mapping. We've locked it in for you on how precon is gonna talk to HeavyBid. And then obviously upgrading where you'll be able to add custom fields is where you'll also be able to then customize this integration. We have another one from Dave. He wants to know what is the final list view of ongoing projects? So the final list view of ongoing projects is gonna be the main page inside of Precon, which is this projects list view. In this place, I can organize what data I want to see by choosing how I wanna show hide columns from all of that data in my project. We've also got a lot of HeavyBid data sitting in here. So this is a primary benefit to having your systems connected is being able to see some into some of your HeavyBid data as well easily. And then with how I'm showing or hiding columns on this view, I can also control how I'm filtering data out and then I eventually save that as a template. We have another question. It is we are currently using Salesforce to track our opportunities. Can Salesforce be linked to preconstruction? We are currently mostly seeing customers do that through their own integrations, but we are hungry to work on one of those integrations with y'all. So please reach out to us so that we can talk deeper about how you would like to do your Salesforce to precon integration because the overall expectation is that if your company is already currently using a CRM or ERP system to do this project tracking, we would want to see an easy data flow into dropping that data here so that it can be used for your estimating process. And then Christian, just jumping into your next question real fast. Are you allowed to export the project list to an Excel spreadsheet? I can dump it out to a CSV, PDF, that kind of stuff. Janelle, going into a question we have here around the future of estimate creation will flow from precon to HeavyBid and will not be available to start an estimate in HeavyBid. So with the HeavyBid desktop system, you will always be able to start an estimate here in HeavyBid. When we're talking about the new version of HeavyBid, we're talking about as we're in the grand scheme of things, not in the near term, but in the long term. Planning for how HeavyBid moves online, our workflow online is going to be that you start an estimate from one of these projects. Okay? So no, we are not locking out your ability to start an estimate in HeavyBid. Okay. We have a few more questions. Will the preconstruction be limited to only Texas DOT related jobs, or can this only be used for city county projects? Gotcha. No this data that's in here is because I'm a Texas girl so I'm most familiar with going and pulling the TxDOT project information. It is not limited to TxDOT projects. I put this information in here myself by doing a project import. And Chris wants to know can user permissions be set up to limit what users are able to see in the project list? In the project list, the best way to drive that at this point, so user permissioning is a component of the paid version of precon. So let me be clear about that first. And then second, one of the I think one of the ways that you would aim to do that is controlling what your public project lists are for your users. But I would want I I would need to dive into that further, and I'm really interested in that feedback. So we'll take that down and look at how or reach back out and see what kind of use cases you've got where you're limiting that data access. Alright. We have one more question. What ERP is better to integrate heavy bed? I don't know that I've, worked with them enough yet to say which one is better. We have seen seen a few of the standard more enterprise systems at this point be integrated. So I'm thinking of JD Edwards. I'm thinking of CMIC those types of systems are the type of ERPs that we've seen integrating so far. Okay. So overall, what we've been looking at is the movement of data. Yes. Got it. Absolutely. And that thank you for that clarification, Chris. So again, what we're looking for in that limitation is keeping junior estimators from having access to the bid information. That is absolutely a permission that we have in place where you can build out your you can build out your reports, how you want to see them. But in the big picture of precon, I can then go in this aligns with some of our other stuff. Sorry. I'm in the wrong spot. I can then go in and control who has access to see estimate information or not. Okay. So that is something that we have today. Okay, so going back in then again we were focused here on that first pass of data where precon is gonna control data that can flow into my estimate. The goal there is really some of the workflows I've seen where your estimators are having to manually move project information from spreadsheets or other systems over into the estimate information screen when they start a new estimate. So now the workflow that we hope to see or that we're looking to support y'all with is I can go into HeavyBid. I can hit new and then new estimate from project tracking. And with that, I can see the projects that are up in my project tracking system, and I can control then what what I'm bringing in. Let me do some quick filtering. Look at my projects up in the project tracking system and decide on one to bring in. So you'll still have to give that an estimate code to align with your coding structure. We'll have an incoming update to feed this code from the precon space. I'm just gonna call this webinar. Have that. And then from here though, you see the estimate name was already populated. If I had tag mapping, those tags would already be populated. I've seen that one be an important piece of the workflow that's actually being reinforced by this integration because tagging is a required part of starting out the estimate. And then I, of course, pick out which of my estimates is my master. So past that, you're just working in the new estimate setup flow. So, Ray, your question on assigning an estimate number in precon. So we have seen people take on the workflow where they are using this precon ID as their estimate number. And that is why one of my pushes is that this estimate number needs or this project ID needs to become the estimate number when we do that process. Right now, it would be a, hey. Make this number line up as far as your estimate code is concerned. Can the source estimate be defined in precon? Not Not at this point, but that is a very interesting workflow question that I would love to know more about. And then questions here. Ahead. Are you able to interlink HCSS along with MS Project? So, in that case the HeavyBid Desktop System is our primary system that has a integration with MS Project in order to send your estimate data over to scheduling and or back again. So that's gonna happen more specifically with the HeavyBid system. Can you tie multiple estimate numbers to a project? Say if there were different versions or clones. You can tie multiple estimate numbers to a project. So what we'll actually look at is taking this not great estimate because we don't want a negative markup from last year and updating it to one for this year. We have our question. Under permissions, we have four columns and project tracking, contact management, administrator, and estimate insights. Which permissions are part of free versus paid version? Yeah so in the free version of precon all users are viewed as admin. So you cannot control the fine tuning of who has access to what data, but what you can control is who has access to pre con to begin with through your credentials management. In the paid version, that is when you get to see the four that you're talking about there, Bob, which is your who who's allowed to do what in project tracking, who's allowed to do what in contacts, who's a full admin of the system and therefore can help set up this customized setup space inside of project tracking, and who can see estimate information. Great question. Finishing out. Yes. They do. Okay. So we got a question in the q and a asking what happens if you show totals. So this is a fun one. Let's go back here. Let's find us an example where I might have multiple. I think I cleaned up all of mine because they were silly, but it's alright. Let's make a silly one. So I have this estimate right here where I have one earth tied to the estimate. In here, I I'm seeing which of my HeavyBid estimates is tied to this project. If I have multiple estimates tied to this project, which I'm gonna add one earth and one pave to this project, and I have show totals on both, what's gonna end up happening is that these items now total together in my project reporting. So we do support the idea that you might have multiple estimates because you've split up scopes or you might have multiple estimates because you're doing versioning. And with that, you can keep the record of the old version here, but only the one that's supposed to count towards totals will be the one that counts towards totals. Okay. A little off track there, so I'm gonna bring us back into the story as far as precon talking to HeavyBid and getting started with a project real fast. I am gonna do a new estimate from project tracking. I am gonna grab the same piece that I was looking at, which is my I believe this guy. I'm gonna update his estimate code. So this is where you're gonna see the part that I don't like about this, but that's okay. We are we're all friends here, which is I'm gonna grab my code and drop it in. And then ah, I went to copy. Well, we got estimates now. Okay. So I've now got a second estimate here, but what I very specifically didn't do yet is set up the other direction of data flow. I wanted to do that with y'all. So I've gotten my project started, my data flowed in from the from the project tracking system for bid date, project name, code, estimate name, project codes, and then over an optional information, I've got some of my other dates and whatnot flowing in. So going back now into our storytelling on that, what we now also want set up is that your HeavyBid data is gonna flow back to that projects list because, again, our goal there is to take away the double entry of your estimators needing to move estimate numbers from the HeavyBid system back into a spreadsheet so that you can see overall how your bids are doing in a bid review process, like a weekly bid review process. So in this case we're talking about HeavyBid data flowing back to precon to provide estimate insights. In that space, there are a couple of steps for those of y'all who have been customers for a good long while. One of the first steps includes going into credentials and turning on the opportunity to use estimate history. So this feature is called estimate history, and it is that's the primary feature that we're talking about every time we talk about HeavyBid sharing data back to precon. So in my credentials company, I can turn on the ability to allow estimate history. Again, if you're a you're a long time customer, this is a step that may be important for you to do. If you are a relatively recent customer, we've already taken care of this part for you. You'll know if it's done or not by HeavyBid. HeavyBid will tell you. After that step sorry. Let me go back to here one more time. After that step, HeavyBid is where you'll want to set up your okay for sharing data in estimate history. And so in that, I'm gonna go to tools, preferences, and I'm going to a system preference to say okay with this feature. So you'll notice within the system we'll do the check for you on credentials and make sure that that part's done. If you've got a little green check mark here, that means that's estimate history in HeavyBid. So I'm doing that part with y'all. I just turned that on. From there, another setup that is really handy to do is user setup so that I don't have to type in my credentials, username, and password a lot. So in my case, I'm the only one using this system most of the time. So I did put my information into the system credentials. But if you've got multiple users in a multi user system, you would want them to go into the user setup and put their credentials information in here. Primarily this is just to help enable still that kind of like user awareness of who should be allowed to do what. As a system admin, I may be an admin in precon and I'm allowed to do more or affect more than another user is able to. This lining up to the correct like user permissions you're intending is part of why we have these two setups available. You can have the user set up their connection through their own credentials. With that in place, that's what allows me to then interact with estimate history to do two different things. I can archive data or I can sync data. So in HeavyBid, under the file menu, I have two options for estimate history. I can archive data or I can sync data. In the archive menu, what that lets me do is that lets me Notice not just anybody can archive data because what this lets me do is take estimates from my local system and take them off of my local system. I'm gonna send them up to estimate history so that they are archived, so that they are cleaned up from my local system but still available to me to copy from, to look at data in precon. I still have access to that data and information, but they're not going to show up in my local open estimate list anymore. So again the purpose of this is to support the standard reasons that you archive estimates. Which is I don't need to have my local system muddled with estimates from two years ago, three years ago. I may choose to take all of those and archive them. The benefits of archiving with HCSS are that this is something that is not an extra charge in any way shape or form. So that is a benefit to you as far as space is concerned, storage space. In that archive, I can still access that data as an estimator if I need a copy from something that's in the archive or if I wanna go look at that estimate online, I can still go do that. But I've now cleaned up my open estimate screen. Okay. Alright. And then outside of archiving, last bit here is syncing. So this again is my local estimates list, and I can choose sorry, in the sync estimates, this again is my local estimates list, and I can choose to copy an estimate up to the web. That keeps it on my local system and puts a copy online, And that's what allows that estimate reporting online. By default, our standard recommendation for companies who are getting started with this whole workflow and want to maintain data between the two systems is that you would, in your master estimates that you currently work with, set an estimate preference. So I'm under tools, preferences, estimate. Under the bid summary and pricing preference, I've got the ability to select an option that will automatically sync the estimate with estimate history every time I run bid summary and spread. This means that your estimators never have to worry or rarely have to worry. How about that? We won't use that word. But rarely have to worry about whether or not the most up to date data is online. This is just gonna happen as a native part of using the system and running bid summary and spread that a copy of the estimate is gonna go online. Again, I'm not in a master estimate right now, so this is only going to take effect for the specific estimate that I'm in. That is why we recommend doing that in your master so that as you copy from that estimate over and over and over again, that preference is already selected. In the end, what that ends up looking like is data is able to flow back to precon, and that is what's providing me this information. My bid total coming out of HeavyBid, the terrible markup on that particular project, and other pieces that's actually a different part of the system. So these two items are fields that are coming from HeavyBid. But as you can see here in our show hide columns under the HeavyBid estimate section, we've got a ton of data points coming from the estimate that can be added to your project tracking reporting. Okay so this is actually where we're gonna pick up during the next webinar where we're gonna actually go deeper into this idea of syncing and archiving your estimates and what you get out of that back in the pre con space. So my goal for today was just to tease that. I'm sure there are tons of questions about that, but overall, the reason that we connect into estimate history is so that we can access historical cost data, historical price data, and look at our patterns. Again, goal here is that we're helping move that workflow into a more clear line of actions that you can bid faster by having more ready access to this data and have better transparency with your stakeholders in that project's dashboard. So we are preparing people that that is gonna be the workflow. You can get started in that workflow today, but no we are not forcing anybody in desktop into that workflow. Alrighty.
