Advanced Time Card Features

Forget paper and pencil and take advantage of HeavyJob’s versatile electronic time cards.

Colors can also be defined to show different pieces of equipment or employees on the screen to avoid confusion. The green lines represent that the equipment is linked to its operator.

A "/" after the number denotes hours of overtime. "//" means double overtime. Overtime can be entered as 8/2 where there are 8 hours of normal pay and 2 hours of overtime pay (typically at time and a half), or 8//1 where there are 8 hours of normal pay and 1 hour of double overtime.

Timecard information

After entering a note, buttons are bolded to indicate an entry. You can then report on and search for notes in the future.

Cost Code and Production information

Both public and private notes may be entered and the original estimate information for each cost code can be viewed via the Estimate Resources button, so foremen can see what the estimator originally anticipated.

The time card is also equipped with non-use codes for labor and equipment. These are customizable letters used to describe the status of employees and equipment, making it very easy for payroll to track everything from sick days to vacation and eliminate wasted time of having to call employees to check how much time they have worked.

Employee Attendance

These codes explain that Todd worked an 8 hour day with 2 hours of overtime and operated a scraper for 6 hours because it was down for 4 hours. Ian worked only 4 hours that day since he was 4 hours tardy. Because he was late, his piece of equipment was on standby for 4 hours and only being used for 4 hours that day. Toni was absent for the day, and Jody was on vacation. With all of these non-use codes, you can customize the time card to cover any scenario possible. The greatest benefit is how much more efficient communication between payroll and the foreman/project managers will be. With paper and pencil in the above scenario, payroll would see 4 hours for Ian and Toni’s time would be blank, meaning payroll likely has to call the foreman to find out why those two employees are missing. Because of the attendance codes, you are able to avoid this confusion. These codes can be exported to the payroll system if desired.

Timecard information

Cost codes have alternate codes associated with them that link with the payroll codes. This way, the cost code number can be designed for the foreman to easily understand and still bring in the proper code when it goes into payroll.

For tracking or union purposes, you can even track specific shift and break times by employee.

Shift, Break, Lunch, Break, Shift End Entry

Finally, you can enter notes on an employee and equipment level to explain why an employee wasn’t there or why the equipment was down.
