HeavyBid’s Quote
System is a great way to streamline the process of assigning material supplier and
subcontractor prices to the resources found in the estimate and reduce stress on bid day.

HeavyBid’s Quote System allows you to:
Create folders to organize resources into groups
- These folders can be placed in your master estimate and will then be available in every estimate
created from that master.
- HeavyBid's Advanced and Comprehensive versions allow you to automatically pull in resources
by assigning them to folders. For example, RCP pipe of any diameter in the estimate can be
automatically funneled into one folder, ready to be sent out for solicitation. In addition, you can
assign product types to your vendors and have each folder linked to a product type. This means
vendors that typically supply that resource will be automatically set up in the folder for when you are
ready to solicit them.
Send out a customized solicitation letter to all the vendors for the job

This letter may be exported out of HeavyBid in a variety of ways, including E-Fax, e-mail,
Microsft Word, the Internet, or print.
Perform in-depth reporting and analysis of quoted prices

There are reports available to ensure you have selected a vendor for every resource included in your quote system folders
as well as which vendors you are using and what their total contribution to the job will be.

HeavyBid has the ability to process information you receive and help make better decisions as to which vendor will
be the best fit for the job you are bidding.

Automatically distribute the prices from a selected vendor throughout the estimate

Once a vendor has been chosen, several options are available for updating the estimate with that information. For
example, you can apply a quoted unit price across the estimate with a few clicks.

We use status codes and visual notifications to inform you of the status of each quote folder at a glance.
Track minority goals and information for each vendor in an estimate

Minority goals can be tracked in each estimate and reports will show how close you are to those
goals based on the vendors selected.
Make adjustments to any vendors quote either by percentage, lump sum, or a series of ad hoc adjustments

A variety of options allow you to track changes made to the quote while still keeping track of where those changes came from.

If you need to adjust the quote because of a fuel surcharge applied by the vendor, you can add this as an ad-hoc adjustment
with the description attached and that same adjustment label will be available for other vendors in the same folder.
