Outstanding Documentation Features

When using HeavyBid, you may need to have other documents attached such as takeoffs, general conditions, contracts, mix design, local regulations, and so on. You will have the ability to add notes throughout HeavyBid and also attach documents to biditems, activities, quotes, and the project in general.

The first simple but very useful note that HeavyBid creates is in the title bar.

This shows the date and user that created the estimate.

You may also enter notes for the estimate, biditem, activity, and subcontractors.

Calculation Routine Notes:

When using calculation routines, the input and calculated quantities can be automatically written to the Activity notes. Calculation routines will help you automatically calculate quantities for bedding or hauling, for example. When the calculation is complete, HeavyBid will automatically copy the numbers used in the calculation so the calculated quantity can be supported in addition to crosschecking the input values during bid review.

 

 

Attach Documents:

Attach documents to any note by pressing the paperclip button. Notice that the paperclip will be highlighted in blue when a document is attached. To add documents, simply click on the ‘Add Documents’ button and browse to the file. Pictures may be attached to the estimate as well.

 

Attach Documents in Quote Subsystem:

Attaching documents in the Quote Subsystem will help you keep track of supporting documentation for suppliers and their prices. This is very similar to attaching documents to biditems and activities. Notice the paper attached to the folder. This indicates that there is a document attached to this folder.

Better documentation means other estimators, future estimators, project managers, superintendents, and foreman can better follow your thinking both in how the bid was estimated as well as how work was planned to be completed.

These notes will also be automatically exported to HeavyJob where they become available to HeavyJob users, helping them to see what the estimator was thinking and adding to foremen’s ability to effectively manage their job.
